Job Overview

UE Recruitment Outsourcing is on the lookout for a dedicated Assistant Property Manager to support the Property Manager in various operational tasks. The ideal candidate will play a crucial role in achieving operational objectives, ensuring a steady cash flow, and delivering exceptional customer service to both current and prospective residents.


Key Responsibilities

  • In the absence of the Property Manager, oversee office operations and manage all financial transactions related to the property, ensuring timely bank deposits.
  • Facilitate leasing processes, enhance resident retention, and coordinate customer service initiatives.
  • Engage with potential residents by conducting property tours, qualifying leads, and finalizing rental agreements.
  • Negotiate lease agreements and renewals in accordance with property owner specifications, while maintaining organized resident files and ensuring smooth move-ins.
  • Exhibit a professional and friendly demeanor towards residents, clients, and colleagues, fostering a positive work environment.
  • Address maintenance requests from residents, follow up on service quality, and assist in procurement of necessary supplies and services.
  • Manage rent collection and accurately record transactions in the property management software.
  • Compile and submit various reports, including vacancy, traffic, and market analysis reports, in a timely manner.
  • Communicate with residents regarding late payments and eviction notices, adhering to company policies.
  • Assist in planning and participating in community events for residents.
  • Conduct inspections of vacated units to identify necessary repairs and monitor property conditions for safety and aesthetics.
  • Process purchase orders and invoices, ensuring compliance with financial protocols.
  • Maintain a courteous and professional attitude towards all staff members, avoiding confrontations in front of residents.
  • Perform additional duties as assigned by the Property Manager to meet business needs.


Required Skills and Qualifications

  • Knowledge of federal, state, and local regulations regarding multi-family housing and Fair Housing practices.
  • Sales acumen and ability to effectively market property features to prospective residents.
  • Proficient in managing leasing applications and related documentation.
  • Strong customer service skills with the ability to resolve conflicts and address resident concerns.
  • Understanding of basic accounting principles and property management procedures.
  • Excellent organizational skills for maintaining records and schedules.
  • Effective verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and ability to learn property management software.
  • Ability to handle sensitive information with discretion.


Administrative Expectations

  • Adhere to safety protocols and incident reporting policies.
  • Be flexible with work hours, including weekends and holidays as needed.
  • Participate in training and development programs.
  • Contribute to marketing initiatives to enhance property visibility and attract potential residents.

Education and Experience

  • High school diploma or GED; or two to three years of relevant experience in property management, leasing, or customer service.
  • Prior experience in customer service, sales, or leasing is essential.
