The Assistant Property Manager plays a vital role in assisting the Property Manager and Building Engineers with various tasks related to tenant and facility requirements. Essential Qualifications
- High School Diploma or equivalent
- 1-3 years of relevant experience
- Proficiency in Microsoft Office Suite
- Valid Texas Driver License with a satisfactory driving record
Key Responsibilities
- Review, code, and authorize invoices; assist in processing rent payments and deposits; conduct rent collection as necessary; manage tenant bill backs.
- Foster positive tenant relationships by addressing inquiries via phone, email, and in-person, including move-ins, move-outs, work orders, and other concerns, while aligning with the Owner's objectives and lease agreements.
- Provide notary services and assist with access cards, keys, and parking assignments.
- Aid in updating rent rolls, processing expense reimbursements for staff, and managing tenant and vendor communications; organize tenant events; maintain tenant portals; oversee electronic building directories; procure office supplies; manage work order systems and other electronic systems.
- Ensure tenants' and vendors' Certificates of Insurance are current and obtain/update Certificates of Occupancy as required. Maintain building and engineering permits.
- Stay informed of deadlines; utilize calendars for scheduling meetings and ensuring building contracts are up to date.
- Create and maintain tenant lease files and building documentation; order necessary signage.
- Coordinate emergency protocols, including on-call schedules and fire drills; remain available after hours and on weekends for emergency response.
- Handle vendor-related issues and requests, including collecting bids, assessing performance, and awarding contracts as needed.
- Supervise Security and Day Porter duties and performance.
- Conduct property inspections for both interior and exterior, ensuring properties are well-maintained; schedule and oversee vendor work, assisting building engineers in tracking inspections and repairs, while identifying areas for improvement.
- Support construction projects and tenant finish-outs as required.
- Assist with budget preparation, estimates, reconciliations, and collection of tenant financials and reports.
- Collaborate effectively with the Property Manager and other staff members, utilizing strong communication skills.
- Process mileage and credit card reimbursements.
- Perform additional duties and special projects as assigned.
