Key Responsibilities

  • In the absence of the Property Manager, oversee office operations and manage all financial transactions related to the property, ensuring daily deposits are completed.
  • Facilitate leasing processes, resident retention strategies, and customer service initiatives.
  • Engage with prospective residents through property tours, qualifying leads, and securing rental applications and deposits.
  • Negotiate lease agreements and renewals according to property owner specifications, maintaining accurate resident records and ensuring timely move-ins.
  • Maintain a professional and friendly demeanor towards residents, clients, and team members, fostering a collaborative work environment.
  • Address maintenance requests from residents, follow up on service completion, and assist in ordering necessary supplies within budget constraints.
  • Collect and record rent payments using RealPage OneSite.
  • Compile and submit reports on various operational metrics, including vacancy rates, market surveys, and weekly activity summaries.
  • Communicate with residents regarding overdue payments and follow company protocols for late notices and evictions.
  • Distribute lease renewal notifications to current residents.
  • Assist in resolving resident concerns and complaints effectively.
  • Help organize and participate in community events aimed at enhancing resident engagement.
  • Ensure compliance with safety policies and procedures, reporting any incidents as required.
  • Conduct inspections of vacated units to determine necessary repairs and monitor property aesthetics for safety and quality.
  • Handle paperwork for households utilizing rental assistance programs, when applicable.
  • Process purchase orders and invoices for accounting purposes.
  • Maintain a respectful and professional attitude towards colleagues, avoiding confrontations in front of residents.
  • Perform additional duties as assigned by the Property Manager to support business operations.
  • Adhere to Standard Operating Procedures (SOP) regarding rent collection.


Required Skills and Qualifications

  • Knowledge of federal, state, and local regulations related to multi-family housing and Fair Housing practices.
  • Sales skills with the ability to effectively promote property offerings to potential residents.
  • Experience in generating leads, scheduling appointments, and successfully closing leases.
  • Proficient in processing lease applications and associated documentation.
  • Strong customer service and conflict resolution abilities to address resident issues.
  • Familiarity with basic accounting principles and property management practices.
  • Excellent organizational skills for maintaining records and schedules.
  • Effective verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and capable of learning RealPage OneSite.
  • Ability to handle sensitive information with discretion.

Education and Experience

  • High school diploma or GED; two to three years of relevant experience in property management, leasing, or customer service, or a combination of education and experience.
