Overview:


Knowledge Services is in search of a Project Management Specialist to oversee a project with the State of Maine Office of Technology. This role offers flexibility for remote work, although candidates with previous experience in government projects are preferred.

Responsibilities:

  • The Project Management Specialist plays a crucial role within the project team, tasked with delivering projects of varying scales and complexities. This position involves directing, organizing, and managing project activities under the guidance of a Project Manager (PM).
  • Assist in creating estimates for enhancement or development efforts, including analysis, design, construction, testing, and implementation.
  • Support the Project Manager in prioritizing project tasks.

Ticket Management:
Oversee the volume of tickets, ensuring proper reconciliation of requirements and testing tickets.

  • Identify and coordinate the resolution of issues and risks, escalating as necessary.
  • Ensure the delivery of all tasks outlined in the project plan.
  • Capture and report essential project metrics.
  • Proactively manage project documentation related to analysis, development, and testing.
  • Track project progress against established plans.
  • Assist in coordinating schedules, tracking meetings, and ensuring attendance across various teams and stakeholders.
  • Monitor project milestones and phases to maintain schedule adherence.
  • Recommend corrective actions if project timelines begin to slip.
  • Prepare periodic project status reports for the Project Manager and relevant stakeholders.
  • Manage efforts across multiple application teams.
  • Oversee the project plan for development efforts.
  • Assist in the final project evaluation review with stakeholders for approval upon completion.
  • Coordinate stakeholder meetings and liaise with clients for PMs.
  • Notify team leads of project timelines and milestones.
  • Communicate effectively with users and clients as needed.
  • Analyze and compile project metrics related to improvement initiatives.
  • Ensure adherence to processes and activities.

Qualifications:

Required Skills for Project Management Specialist:

  • Proficiency in Jira/Confluence is strongly preferred.
  • Exceptional organizational skills.
  • Strong written and verbal communication abilities.
  • Capability to manage and prioritize multiple tasks in a dynamic environment.
  • Experience collaborating with diverse resources across various IT functions.
  • Proven ability to effectively manage meetings with local and remote participants.
  • Attention to detail and strong problem-solving skills.
  • Positive attitude and a collaborative approach to teamwork.
  • Proficient in Microsoft Office, including Microsoft Project and SharePoint.
  • Experience in an Agile/Iterative environment is advantageous.
  • Familiarity with Microsoft Visio is a plus.
  • Experience within a formal project management methodology/PMO is beneficial.
  • Strong critical thinking skills.
