Job Summary

We are seeking a highly organized and detail-oriented Facilities and Events Coordinator to join our team at InsideHigherEd. The successful candidate will be responsible for overseeing the scheduling of campus recreation facilities, managing internal and external user reservations, and coordinating events.

Key Responsibilities
  • Facilities Management: Directly oversee and manage the scheduling of all campus recreation facilities, ensuring efficient use of space and resources.
  • Event Management: Serve as the primary administrator for 25Live reservation software, manage internal and external user reservations, and provide on-site management and/or oversight of events.
  • Relationship Building: Coordinate and build relationships with University constituents as they relate to event management, ensuring seamless communication and collaboration.
  • Inventory and Equipment Management: Responsible for inventory and equipment maintenance for informal recreation equipment, as well as administering and maintaining equipment inventory related to facility usage and events.
  • Facility Maintenance: Assist in facility maintenance walkthroughs, inspections, head counts, and work order submissions, ensuring the upkeep of campus recreation facilities.
  • Lost and Found: Oversee and uphold the University Lost & Found procedures for items lost in Campus Recreation Facility spaces.
  • Risk Management: Assist in the development and administration of risk management procedures related to facility operations and emergency response.
  • Personnel Management: Recruit, hire, train, schedule, and directly supervise part-time employees for facility operations, ensuring effective staff management.
  • Fiscal Management: Assist in the preparation, forecasting, and monitoring of annual budget, providing budgetary oversight for student payroll and operational expenses.
  • Assessment and Administrative Duties: Work with Associate Director – Programs & Assessment to oversee operational related assessment data and reporting, providing information annually and as needed to support departmental reports.
Qualifications and Skills
  • Education: Bachelor's degree in a related field.
  • Experience: One year of work experience related to facility and/or event operations in campus recreation, parks and recreation, or athletics.
  • Certifications: Current CPR/AED/First Aid certification or ability to obtain within 30 days of hire.
  • Preferred Qualifications: Master's degree in sport management, recreation, or related field, and a facility/event operations graduate assistantship (two years) in facility/event operations.
