Job Overview

We are seeking a dedicated and organized Office Coordinator to join our team. The ideal candidate will be responsible for ensuring smooth office operations and providing administrative support to various departments.

KEY RESPONSIBILITIES:

  • Manage incoming communications from customers, service personnel, suppliers, and sales representatives, ensuring timely notification of relevant information to staff.
  • Digitally archive customer orders, production records, and essential company documents for efficient access and storage.
  • Process customer product orders via phone and assist with the management of purchase orders as needed.
  • Create and distribute service orders to service personnel located in the U.S.
  • Support the creation and management of service contracts as required.
  • Assist in maintaining up-to-date sales and marketing materials and coordinate trade show activities.
  • Schedule internal meetings, considering staff and room availability, and arrange catering for significant meetings.
  • Oversee the procurement and upkeep of office supplies and break-room inventory.
  • Provide assistance to executives with various tasks as needed.

QUALIFICATIONS:

  • A Bachelor's Degree is preferred; a High School Diploma or GED is acceptable with relevant experience.
  • Minimum of 2 years of experience in an administrative or customer service role.
  • Familiarity with contact management systems.
  • Proficient in the O365 Microsoft Office Suite.

  • Strong attention to detail and the ability to manage multiple tasks effectively.

WORK ENVIRONMENT:

The role requires the ability to sit or stand at a computer for extended periods and lift up to 20 lbs. as necessary.
