Key Responsibilities

The Clinic Operations Assistant plays a vital role in supporting the operational tasks within our clinics. This position encompasses various responsibilities to ensure the smooth functioning of the clinic and the administrative operations of the programs.

Essential Duties
  1. Collaborate with program management to review assignments and ensure task completion.
  2. Provide general information about services offered by The Hume Center and address routine inquiries.
  3. Facilitate communication and training between the team and clients.
  4. Maintain accurate logs of referrals and manage documentation.
  5. Perform routine clerical tasks including typing, data entry, and filing.
  6. Participate in staff meetings and organizational events.
  7. Ensure compliance with filing protocols for business and clinical records.
  8. Process requests for information and maintain confidentiality.
  9. Assist in managing medical records and accounting for program expenditures.
  10. Verify client insurance and eligibility for services.
Client Interaction
  1. Deliver exceptional customer service to clients.
  2. Schedule appointments for new and returning clients.
  3. Check clients in and out, ensuring a welcoming environment.
  4. Collect payments and manage financial transactions.
  5. Assist clients with inquiries and direct them to appropriate departments.
Office Management
  1. Support other administrative staff as needed.
  2. Maintain cleanliness and organization of the office environment.
  3. Coordinate room scheduling and manage office supplies.
  4. Ensure the office operates smoothly during business hours.
  5. Handle emergency situations and coordinate responses.
Data Management
  1. Enter data into internal and external databases in a timely manner.
Additional Responsibilities
  1. Complete other tasks as assigned by supervisors.
  2. Participate in weekly supervision meetings.
  3. Adhere to The Hume Center's philosophy and organizational culture.
