Job Overview:

The role involves managing all requests for the release of patient information with efficiency and precision, ensuring compliance with regulations while delivering top-notch service to clients. The individual in this position must consistently uphold the confidentiality of patient records, granting access solely to authorized personnel and adhering to all relevant policies and regulations.

Key Responsibilities:

Processes requests for information release, which includes retrieving and returning patient records, accurately scanning documents, and transmitting information daily in accordance with established protocols and quality standards. Records the date on all requests and highlights essential information to streamline processing. Confirms the validity of requests and authorizations for the release of medical data following set procedures. Conducts quality assurance checks on all tasks to ensure the accuracy of information released, confidentiality, and correct billing. Maintains equipment in optimal working condition. Delivers exceptional customer service by being attentive and respectful, ensuring clarity in understanding client requests, and proactively addressing any concerns. May handle incoming requests, including managing mail, phone inquiries, and fax communications, as required by client needs. Upholds a professional appearance and adheres to the established dress code. Keeps the workspace organized and ensures that records and files are securely stored before leaving the area. Stays informed about current state laws and fee structures related to medical records. Works within the defined scope of the position and is open to additional assignments or assisting during busy periods. Fulfills responsibilities in alignment with client policies and procedures, including compliance with HIPAA and relevant state and federal regulations. Maintains confidentiality and ethical standards with all sensitive information. Handles privileged information responsibly while efficiently managing the release of medical records.

Required Qualifications:

High School Diploma or GED is mandatory. A minimum of 2 years of experience in a medical records environment or similar setting is preferred. Proficient in computer software, with a solid understanding of Microsoft Word and Excel. Ability to work remotely and provide support at client locations as needed. Strong organizational skills are essential. Typing speed of at least 50 words per minute is required. Proficient in using fax machines, copiers, and scanners. Willingness to quickly learn new equipment and processes. Self-motivated and a collaborative team player. Proven skills in customer satisfaction. Ability to manage multiple tasks effectively.
