The role of the Medical Records Compliance Specialist involves the meticulous handling of all requests for the release of patient information, ensuring that each request is processed promptly and accurately. This position is crucial in upholding the highest standards of customer service while safeguarding patient privacy rights. All actions must comply with relevant regulations, including HIPAA, and adhere to company policies.
Key Responsibilities:
Efficiently manages the release of information requests, which includes retrieving and returning patient medical records, ensuring that all documentation is scanned and transmitted in accordance with established protocols and quality standards. Accurately date stamps requests and highlights essential information to streamline processing. Verifies the validity of requests and authorizations for the release of medical information, following set procedures. Conducts thorough quality checks on all outputs to guarantee the accuracy of releases, confidentiality, and appropriate billing. Ensures that all equipment is maintained in optimal working condition. Delivers exceptional customer service by being attentive, respectful, and proactive in addressing client inquiries and concerns. May handle incoming requests through various channels, including mail and telephone communications, based on client needs. Upholds a professional appearance and adheres to the established dress code. Keeps the workspace organized and ensures that all records and files are properly secured at the end of the day. Maintains a comprehensive understanding of state laws and fee structures related to medical records. Operates within the defined scope of the position, willingly accepting additional responsibilities as needed. Adheres to client/site policies and procedures, including compliance with HIPAA and other relevant regulations. Maintains confidentiality and ethical standards in handling sensitive information. Handles privileged information with care while ensuring efficient and accurate release of medical records.Required Qualifications:
High School Diploma or GED is mandatory. A minimum of two years of experience in a medical records environment is preferred. Proficiency in computer software, particularly Microsoft Word and Excel, is essential. Ability to work remotely and occasionally provide support at client locations is required. Strong organizational skills are a must. Typing speed of at least 50 words per minute is necessary. Familiarity with fax machines, copiers, and scanning devices is required. Willingness to quickly learn new technologies and processes is essential. Self-motivated and a collaborative team player. Proven skills in customer satisfaction are essential. Ability to manage multiple tasks effectively.-
