Job Overview

The Spa and Wellness Event Coordinator is responsible for driving revenue growth through effective scheduling, yield management, and event planning. As the first point of contact for spa guests, you will ensure outstanding five-star service by delivering all hotel standards at Spa Reception and Events.

Key Responsibilities
  • Maximize revenue through effective scheduling, yield management, and cross-sales.
  • Maintain a calendar of events, ensuring all necessary information is up-to-date and easily accessible.
  • Collaborate with the Spa Director to create and curate events, both within and outside the hotel.
  • Work closely with the Spa Manager to ensure accurate event charging and commission payment.
  • Liaise with Banquets and Sales & Mkt teams to ensure seamless event communication and adherence to hotel guidelines.
  • Create IMRs and provide necessary information for BEOs.
  • Maintain open communication with the Spa Supervisor to ensure all team members are informed about upcoming events.
  • Contribute to the team's overall targets and strive to achieve personal targets and goals set by the Spa Management team.
  • Maintain a thorough understanding of spa treatments and retail products, with the ability to accurately describe benefits and prices.
  • Upsell current spa promotions and packages to guests and encourage repeat business.
  • Actively recommend products and provide consultation to guests to ensure sales are closed on product recommendations made by therapists.
  • Encourage clients to return by recommending ongoing treatment programs, inviting guests to rebook, and participating in social media.
  • Respond to social media requests and assist MKT with content creation.
  • Ensure accurate billing procedures at the reception desk and correct reconciliation of funds at the end of each shift and day.
  • Maintain the highest standards of guest service.
  • Conduct spa tours for guests, VIPs, and prospective members, acting as an ambassador for the spa at all times.
  • Consistently record guest and group preferences, updating profiles and communicating relevant information to colleagues.
  • Ensure confidentiality at all times, including data protection, medical details, and any information provided in confidence by clients.
  • Report any guest complaints to the Spa Manager for prompt and effective handling.
  • Organize scheduling of appointments and events to maximize time use and profitability, while prioritizing client needs.
  • Obtain and accurately record all relevant guest information, including contact details, credit card information, and requests/preferences.
  • Prepare guest correspondence and administration according to brand standards and ensure excellent presentation.
  • Respond to guest inquiries promptly and efficiently.
  • Provide information on spa facilities during tours, including benefits, utilization instructions, and health and safety.
  • Maintain the cleanliness, presentation, and organization of the reception and event areas at all times.
  • Ensure adequate supplies of public information materials are available and in immaculate condition.
  • Record and track turn-away business and repeat guests through Book4Time.
  • Prepare the reception area for the start of the next shift, ensuring all messages are communicated and conducting a detailed handover.
  • Answer telephones within three rings and in a professional manner.
  • Liaise with other hotel departments to ensure guest needs are met and communicated, maintaining a good knowledge of the hotel and its facilities.
  • Day-to-day responsibility for equipment, products, cleanliness, and hygiene of the reception and other spa areas.
  • Maintain a high standard of appearance and personal hygiene as laid down by the Spa Director/Manager.
  • Always be punctual and prepared in advance of treatments and events.
  • Support all departments in the spa, including covering reception and spa attendant duties as needed.
  • Adhere to training as set down by the Spa Supervisor and attend all necessary training courses.
