Administrative Support Specialist for Executive Leadership

Establish a strong support foundation for executive leadership teams by leveraging exceptional organizational, communication, and problem-solving skills. We are currently seeking an experienced Administrative Support Specialist to provide high-level administrative assistance to our senior executives in Salt Lake City, UT.

 

Major Purpose:

The primary objective of this role is to anticipate, predict, and execute on the business needs of the office with seamless precision. This involves providing comprehensive calendar management, coordinating events, travel arrangements, and ensuring smooth day-to-day operations.

 

Main Functions:

  • Calendar Management: Coordinate complex calendars, prioritize tasks, and ensure timely execution of events and appointments.
  • Communication: Develop effective relationships with senior executives, corporate counterparts, and colleagues, maintaining a professional image and reputation of the organization.
  • Correspondence and Calls: Screen correspondence and telephone calls, respond or direct to appropriate parties as needed, and maintain confidentiality when required.
  • Additional Duties: Provide telephone support, assist with company-wide communications, expense report preparation, mail, paperwork distribution, filing, copying, and other general tasks.
  • Event Planning: Serve as the event planning coordinator for multiple business events of varying size and nature, demonstrating expertise in logistical organization and execution.

 

Education and Experience:

This role requires a minimum of 8 years of related administrative experience or an associate degree with 4 years of relevant experience. At least 5 years of experience handling multiple simultaneous projects, managing multiple tasks, and deadlines in a fast-paced environment is preferred.

 

Preferred Skills:

  • A minimum of 10 years of prior experience working with senior executives.
  • Proficient in Microsoft Office suite (PowerPoint, Excel, Word, Outlook including Teams).
  • A strong sense of urgency with the ability to monitor shifting priorities while responding and reacting to unexpected situations.
  • Good judgment and discretion in handling confidential information.
  • Demonstrate a willingness to learn new skills and accept additional responsibilities as required.
  • Possess the ability to work well as a team and independently with minimal supervision.
  • Extremely organized with great attention to detail and excellent grammar skills.
  • The ability to anticipate needs and possess a high degree of initiative to begin action and independently take responsibility for follow-through actions.
  • Willing to work some extended hours when necessary, including occasional availability at a moment's notice.
  • Focused on customer satisfaction, committed to generating quality work products, and willing to do whatever it takes to get the job done efficiently.

 

Estimated Salary Range: $30 - $35 per hour
