Position Summary:

The on-site Facilities Coordinator (FC) plays a crucial role in supporting the Senior Facilities Manager (SFM) by providing essential administrative, operational, and event coordination services for the facility.

Key Responsibilities:

  • Maintain daily communication with the Facilities Team, ensuring a consistent on-site presence typically five days a week.
  • Develop and manage the weekly Facilities operational calendar, detailing events and schedules.
  • Coordinate contractor visits to the facility, liaising with Engineering and Security teams.
  • Address requests related to mechanical, electrical, plumbing, and furniture needs by communicating with Facilities staff.
  • Prepare and update vendor contracts and maintain relevant spreadsheets.
  • Assist in coding property invoices for review by the SFM.
  • Support the planning and execution of Conference & Events programs, including:
  1. Participating in weekly BEO meetings and maintaining the BEO binder.
  2. Creating cost proposals and final reconciliations for events as directed by the SFM.
  3. Drafting staffing plans for events requiring additional Facilities support.
  4. Distributing Special Event Notifications (SEN) to staff as needed.
Compile and submit monthly investor reports for SFM approval.Conduct facilities inspections and generate necessary reports.Engage in Facilities Project meetings and document minutes accordingly.Oversee the Building Engines (BE) work order system to ensure timely responses to client inquiries.Collaborate with contractors and vendors to obtain cost proposals for various projects.Assist in implementing and maintaining operational policies and procedures.Contribute to the preparation of the annual operating budget and reports for the facility.Perform additional duties as assigned by the SFM.

Qualifications:

  • 1 to 3 years of experience in a support role is preferred.
  • A Bachelor's degree from an accredited institution.
  • Experience in commercial property management is a plus.
  • Strong interpersonal and organizational skills are essential.
  • Attention to detail and effective prioritization abilities are required.
  • Proficiency in Microsoft Office suite is necessary.
