Role Summary:

The Facilities Coordinator (FC) plays a crucial role in supporting the Senior Facilities Manager (SFM) by overseeing administrative, operational, and event coordination tasks within the facility.

Key Responsibilities:

  • Maintain consistent communication with the Facilities Team, with a primary focus on on-site presence throughout the workweek.
  • Develop and manage the weekly operational calendar, detailing events and schedules.
  • Coordinate with contractors visiting the facility, ensuring seamless communication with relevant departments.
  • Address requests related to mechanical, electrical, plumbing, and furniture needs.
  • Prepare and manage vendor contracts and related documentation.
  • Assist in coding property invoices for review by the SFM.
  • Support the planning and execution of Conference & Events programs, including:
  1. Participation in weekly meetings to maintain event documentation.
  2. Preparation of cost proposals and final reconciliations for events, including invoicing and damage tracking.
  3. Development of staffing plans for events requiring additional support.
  4. Distribution of event notifications to relevant staff as needed.
  • Compile and submit monthly reports for investor review.
  • Conduct facility inspections and generate necessary reports.
  • Engage in project meetings and document updates accordingly.
  • Manage the work order system to ensure timely responses to client inquiries.
  • Collaborate with vendors to obtain cost estimates for various projects.
  • Assist in the formulation and upkeep of operational policies and procedures.
  • Contribute to the preparation of the annual operating budget and related reports.
  • Perform additional duties as assigned by the SFM.

Qualifications:

  • 1 to 3 years of experience in a support role is preferred.
  • A Bachelor’s degree from an accredited institution.
  • Experience in commercial property management is advantageous.
  • Strong organizational and interpersonal skills.
  • Meticulous attention to detail with effective prioritization abilities.
  • Proficient in Microsoft Office Suite.
