Position Summary

We are seeking a skilled Clinic Administrator to enhance our dynamic learning center team. Reporting to the Site Director and collaborating with off-site operations teams, this pivotal role delivers operational and administrative support to our learning center. As the first point of contact for clients and families, you will embody the welcoming spirit of our center.

Key Responsibilities
  • Scheduling Management:
    • Oversee the scheduling processes for clients and services, including regular appointments, assessments, and cancellations.
    • Optimize client authorizations while ensuring providers' availability is efficiently utilized.
    • Manage morning cancellation processes and assist in generating reports related to scheduling and service fulfillment.
    • Approve hourly employee time cards and address discrepancies.
    • Utilize scheduling software to analyze staffing trends and recommend improvements.
    • Deliver exceptional customer service while managing client interactions and phone systems.
  • Client Relations:
    • Handle client inquiries with professionalism and respect.
    • Facilitate communication for potential clients and coordinate with the Family Success Team for current clients seeking additional services.
    • Maintain the integrity of MeBe's EHR system by ensuring accurate staff and client records.
    • Collaborate with other operational teams as necessary.
Additional Information
  • This is an onsite role with the possibility of starting the day from home (with Director approval) to manage morning cancellations.
  • Full-Time, Monday to Friday.
  • Equipment will be provided.
  • Typical hours are from 7 AM to 4 PM, with the first hour dedicated to handling incoming cancellation calls.
  • This is an hourly, non-exempt position.
Qualifications
  • Minimum of 2 years of experience in ABA scheduling.
  • Experience with scheduling in an ABA center is essential.
  • Proficiency in scheduling software, particularly CentralReach, is required.
  • Familiarity with time card software, with preference for experience in Deputy.
  • Background in behavioral health or pediatrics, including Speech and Occupational Therapy, is preferred.
  • Intermediate skills in Google Workspace, including Gsheets, MS Word, Excel, and email.
  • Strong organizational and analytical abilities, with a self-starter mentality.
  • Detail-oriented with a focus on quality work.
  • Bachelor's degree is preferred.
  • Bilingual Spanish-speaking candidates are preferred.
