Job OverviewPOSITION SUMMARY

Under the guidance of the Director of Property Management, the Assistant Community Manager plays a crucial role in supporting the Property Manager with the daily operations of the property. This position is essential in fostering a harmonious community environment for residents by collaborating with the residential services team.

The Assistant Community Manager is tasked with ensuring the property operates smoothly by assisting in the timely documentation of maintenance needs and equipment replacements, while also maintaining the aesthetic appeal of the buildings. Open communication among all stakeholders involved in property management is a key responsibility, along with adherence to company policies and procedures.

The ideal candidate will thrive in a community-focused setting, demonstrating commitment and initiative. They should be adept at working within a multidisciplinary team that employs a social rehabilitation approach, and possess the ability to engage with individuals from diverse socio-economic backgrounds. Strong communication and interpersonal skills are essential, as is an understanding of the challenges faced by individuals with various disabilities.

KEY RESPONSIBILITIES:

  • Provide comprehensive administrative support, including managing phone communications, preparing reports, organizing files, and distributing correspondence. Handle rent collection and deposits.
  • Maintain and update monthly reporting documentation.
  • Collaborate with the Property Manager to coordinate all maintenance and repair activities with both in-house staff and external vendors.
  • Assist in the procurement of office supplies, complete maintenance work orders, and uphold office procedures in line with property management guidelines.
  • Conduct interviews and pre-qualify applicants, manage waiting lists, and ensure proper tenant move-in and move-out processes, including all necessary inspections.
  • Process daily mail and manage incoming calls while ensuring the property remains orderly.
  • Support the Property Manager in meeting compliance standards for investors and third-party agencies.
  • Serve as a backup manager for nearby properties when required.

POSITION REQUIREMENTS:

To succeed in this role, the Assistant Community Manager should possess:

Basic Qualifications:

  • A minimum of six (6) months of experience in property management.
  • At least six (6) months of experience in affordable housing.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for at least six (6) months.
  • Experience working with homeless adults with chronic disabilities in a residential context for a minimum of six (6) months.
  • A valid driver's license and access to a personal vehicle for conducting company business.
  • The ability to meet California's minimum insurance requirements.

Preferred Qualifications:

  • One (1) year of property management experience, preferably with Tax Credit properties or in affordable housing.
  • Familiarity with property management software such as Onesite (Realpage) or Yardi.
  • Exceptional communication skills.
  • Physical capability to lift up to 50 pounds.
