We are seeking a highly organized and detail-oriented Human Resources Coordinator to join our team at Dream Finders Homes. The successful candidate will provide administrative support to the HR department, ensuring the smooth operation of day-to-day human resource functions.
Key Responsibilities- Support the implementation of HR policies and procedures, and assist with all human resources procedures and tasks.
- Assist with day-to-day operations of the HR functions and duties, including maintaining employee records and providing administrative support to all employees.
- Assist in payroll preparation by providing relevant data, such as compensation, PTO, bonus, and leave of absence information.
- Facilitate human resources processes, conduct employee onboarding, and help organize training and development initiatives.
- Coordinate HR projects, meetings, and training seminars.
- Ensure compliance by maintaining up-to-date Labor Law Posters in accordance with legal requirements.
- Answer the main HR department phone line.
- Maintain and organize the HR Email Inbox.
- Send out all approved Company/HR Communications.
- Maintain the Employee Directory and Company Org Charts.
- Facilitate the employment applicant tracking process in ADP.
- Perform HRIS data entry and personnel file maintenance.
- Assist employees and supervisors with basic interpretation of HR policies and procedures.
- Assist with employee onboarding.
- Facilitate the completion of employee new hire paperwork.
- Maintain confidential personnel files and personnel actions.
- Work on moving all hard-copy personnel files to an electronic file system.
- Maintain the current and termed I-9 files.
- Respond to all reference checks and verifications of employment status.
- Assist the HR Director and HR Business Partners with HR projects.
- Assist with Benefits Administration.
- Pull data or reports from all HR systems, such as ADP.
- Mass mail merge/mailings.
- All other duties as assigned.
- High School Diploma or equivalent required, Bachelor's Degree preferred.
- 1-3 years of related experience preferred, even if intern capacity.
- Understanding of HR laws such as EEO/AA, ERISA, ADA, etc. preferred, but not required.
- Knowledge of HR best practice strategies and policies preferred, but not required.
- Exceptional communication skills – both written and verbal.
- Able to maintain a high level of confidentiality at all times.
- Flexible and adaptable; able to work in ambiguous situations.
- Resilient and tenacious with a propensity to persevere.
- Problem-solving and root cause identification skills.
- Able to work effectively at all levels in an organization.
- Ability to establish and maintain strong relationships.
- Ability to influence others and move toward a common vision or goal.
- Must be a team player and able to work collaboratively with and through others.
- In-depth knowledge of Human Resources, Regulatory, and legal principles and practices.
- Excellent time management, communication, decision-making, and presentation skills.
- Proficient in MS Excel, PowerPoint, and Word.
- The work environment is representative of an office setting.
- The noise level in the work environment is usually quiet to moderate.
