Patient Services Representative - Orthopedic Surgery Clinic

General Overview:
This role involves managing patient schedules in an outpatient environment and providing administrative support to ensure the clinic operates efficiently.

Key Responsibilities:

Appointment Scheduling:
  • Facilitates patient appointments via phone or in-person interactions.
  • Offers insights regarding clinic functions.
  • Collects and updates patient demographic information for new and returning patients.
  • Handles incoming calls and directs them appropriately.
  • Inputs healthcare providers' schedules into the system.
  • Organizes schedules for patients requiring multiple services.
Patient Check-In/Check-Out:
  • Welcomes patients upon arrival for their appointments.
  • Processes payments and issues receipts.
  • Reviews encounter forms for accuracy and completeness.
  • Codes medical procedures and diagnoses.
  • Ensures necessary signatures are obtained on documentation.
  • Copies insurance information for proper distribution.
  • Prepares billing packets and encounter forms for upcoming patient visits.
  • May assist in preparing daily financial deposits.
  • Balances cash drawer at the end of each day.
  • Prepares necessary forms for ancillary services.
  • Distributes physician schedules to relevant offices.
Filing and Record Management:
  • Retrieves patient charts for appointments or files necessary documents.
  • Copies medical records for patients and other healthcare providers.
  • Maintains organization of patient charts.
  • Prepares inactive charts for storage and keeps a log of stored records.
  • Secures charts that are needed from storage.
  • Replaces damaged charts with new covers.
  • Creates new patient charts and information packets.
  • Requests medical records from external facilities.
Referrals and Authorizations:
  • Discusses financial accounts with patients.
  • Confirms insurance eligibility and primary care providers.
  • Obtains necessary referrals for HMO patients.
  • Collects proof of income to determine applicable sliding scale discounts.
Miscellaneous Duties:
  • Manages supply inventory and reorders as necessary.
  • Types correspondence for physicians as required.
  • Maintains confidentiality of patient information.
  • Performs other related tasks as assigned.
Minimum Qualifications:

Education: No formal education required.

Experience: At least 1 year of professional experience is required; 2 years in customer service is preferred or an equivalent combination of education and experience.

Skills and Abilities:
  • Strong verbal and written communication skills.
  • Excellent customer service abilities.
  • Interpersonal skills to work effectively with colleagues and patients.
  • Proficient in Microsoft Office applications.
