Job Overview:

General Overview:
This role is responsible for managing patient schedules within an outpatient clinic and providing administrative support to ensure the efficient operation of the facility.

Key Responsibilities:

Appointment Scheduling:
  • Manage patient appointment bookings via phone or in-person.
  • Provide detailed information regarding clinic operations.
  • Collect and update patient demographic information for new and existing patients.
  • Handle incoming calls and direct them to the appropriate personnel.
  • Input healthcare providers' schedules into the system accurately.
  • Coordinate appointments for patients requiring multiple services.
Patient Check-In/Check-Out:
  • Welcome patients upon arrival for their scheduled appointments.
  • Process payments and issue receipts.
  • Review encounter forms for accuracy and completeness.
  • Assign appropriate codes for procedures and diagnoses.
  • Ensure necessary signatures are obtained on encounter forms and patient charts.
  • Copy insurance documentation and distribute as needed.
  • Prepare encounter forms and billing packets for patient visits.
  • May assist in preparing daily financial deposits.
  • Balance and close cash drawer at the end of each day.
  • Prepare ancillary forms for additional services (e.g., x-rays, vascular services).
  • Print and send physician schedules to relevant offices.
Filing and Record Management:
  • Retrieve patient charts for appointments or to file relevant information.
  • Copy medical records for patients and other healthcare providers.
  • Organize and file patient charts systematically.
  • Prepare inactive patient charts for storage and maintain a log of stored charts.
  • Secure charts that are in storage but needed for clinic use.
  • Replace damaged charts with new covers.
  • Create new patient charts and information packets.
  • Prepare inserts for new patient charts.
  • Request medical records from external facilities.
Referrals and Authorizations:
  • Discuss financial accounts with patients.
  • Verify insurance eligibility and primary care providers for patients.
  • Obtain necessary referrals for HMO patients.
  • Collect and verify income documentation to determine applicable sliding scale discounts.
Additional Duties:
  • Distribute supplies as required.
  • Notify relevant personnel when supplies are low and need reordering.
  • Type correspondence and notes for physicians as needed.
  • Create immunization cards as necessary.
  • Log mail receipts in accordance with university policy.
  • Sort and distribute incoming mail.
General Conduct:
  • Maintain professional communication with patients of all ages.
  • Foster a collaborative environment with co-workers and staff.
  • Engage in professional development through training and educational programs.
  • Uphold patient confidentiality at all times.
  • Perform related duties as assigned.
Minimum Qualifications:

Education: No formal education required.

Experience: Minimum of 1 year of professional experience required; 2 years in customer service preferred, or an equivalent combination of education and experience.

Licensure/Certifications: None required.

Knowledge, Skills & Abilities:
  • Strong verbal and written communication skills.
  • Excellent customer service abilities.
  • Interpersonal skills to work effectively with patients and colleagues.
  • Proficient in Microsoft Office applications.
