Position Overview:

Temporary Role

As an Administrative Support Specialist, you will deliver comprehensive secretarial, administrative, and clerical assistance to designated office(s), ensuring smooth and efficient daily operations. You may also provide support to departments in utilizing computerized applications.

Key Responsibilities:
  • Drafts, types, and disseminates precise correspondence, memorandums, and administrative guidelines. Prepares and compiles various reports as needed.
  • Prepares materials for and may attend various committee meetings; accurately records minutes from these meetings.
  • Assists assigned personnel by managing appointments, maintaining calendars, and organizing, coordinating, and prioritizing activities.
  • Establishes and maintains current office files and databases, both in physical and digital formats.
  • Handles incoming calls, addressing inquiries or directing calls as necessary.
  • Manages the distribution and prioritization of incoming mail.
  • Coordinates travel arrangements as needed; processes reimbursements, approved invoices, payroll, and various paperwork to ensure a timely and efficient workflow.
  • Operates various office equipment, including copiers, FAX machines, and computers.
  • Orders and maintains sufficient inventory of office supplies; prepares requisitions as required.
  • Assists students with inquiries or complaints, or refers them to the appropriate office or personnel.
  • May aid in the formulation of the annual office budget.
  • May provide guidance or assistance to junior clerical staff.
  • Performs other related duties as assigned.
Minimum Qualifications:

This position necessitates at least an Associate's degree or a two-year college equivalent (minimum of 60 undergraduate semester hours) along with a minimum of two years of relevant work experience. A High School diploma or GED equivalent is required if substituting experience for education.
