Job Title: Human Resources Services Coordinator

Eastern University is seeking a highly organized and detail-oriented Human Resources Services Coordinator to join our team. As a key member of our HR department, you will provide administrative support, manage office operations, and ensure seamless communication with employees, management, and external stakeholders.

Key Responsibilities:
  • Provide exceptional administrative support to the HR department, including mail and email management, phone and fax communications, and visitor services.
  • Manage office supplies, equipment, and inventory, ensuring a well-stocked and efficient workspace.
  • Serve as a primary point of contact for HR-related inquiries, coordinating meetings, and facilitating communication between departments.
  • Assist with special events, such as the Wellness Fair, Employee Christmas Event, and Open Enrollment, ensuring a smooth and successful experience for all participants.
  • Maintain accurate and up-to-date records, databases, and employee files, adhering to confidentiality and data protection protocols.
  • Process and post employment job postings, manage online HR portals, and respond to employment inquiries and job portal questions.
  • Coordinate and maintain the HR switchboard, inboxes, and fax lines, providing exceptional customer support to internal and external stakeholders.
  • Update HR-related documents, forms, and communication materials, ensuring accuracy and compliance with university policies.
  • Collaborate with the satellite location to ensure employment posting requirements and intake forms are met.
  • Administer and track employment verification, PSLF forms, certifications, and correspondences for all employees, former employees, and volunteers.
  • Oversee and maintain student employment and associated payroll documentation, ensuring timely and accurate processing.
  • Generate personnel files and coordinate a record retention system for HR files, adhering to university policies and regulations.
  • Stay up-to-date on employment laws and mandates, ensuring compliance and best practices in HR operations.
Requirements:
  • Bachelor's degree and/or 1-3 years of previous office management experience in a Human Resources setting.
  • Proven administrative skills, demonstrated computer experience (Word, Excel, CMS, and Internet), and strong customer service skills.
  • Ability to work independently and in a fast-paced environment, managing multiple tasks and priorities with ease.
  • Excellent communication and interpersonal skills, with the ability to effectively communicate with diverse stakeholders.
  • Strong organizational and time management skills, with attention to detail and ability to maintain confidentiality.
  • Ability to work additional hours as needed to complete required work assignments.
