ROLE SUMMARY:

The Spare Parts Customer Service Specialist is responsible for driving the achievement of annual sales targets for spare parts. This role requires collaboration with various departments, including Sales, Technical Support, and Aftermarket Services. The representative will oversee the entire spare parts sales process, from identifying customer requirements to quoting and finalizing sales.

KEY RESPONSIBILITIES:

  • Manage the spare parts order processing workflow, which includes:

- Generating quotes in accordance with established pricing protocols

- Conducting follow-up communications via phone and email

- Entering customer orders and resolving any discrepancies with purchase orders

- Releasing customer orders while ensuring satisfaction with Plasma-Therm's service

  • Establish and maintain professional relationships with key clients and representatives
  • Strive to meet or exceed financial objectives set for the Parts division
  • Adhere to the established processes for spare parts sales

- Track daily metrics related to the spare parts sales process

  • Identify areas for improvement within departmental processes and propose enhancements
  • Address any invoicing issues between the accounting department and customers
  • Participate in cross-functional projects as needed
  • Perform additional duties as assigned
  • Comply with Plasma-Therm's Safety & Health, Quality, and Environmental policies.

SUPERVISORY ROLE:

No supervisory responsibilities are associated with this position.

QUALIFICATIONS:

  • A Bachelor's Degree is required
  • 0 to 2 years of experience in customer service or a related field

SKILLS AND ATTRIBUTES:

  • Effective communication skills for interaction with both internal teams and external clients
  • Team-oriented mindset with a capacity for quick learning
  • Familiarity with necessary software and systems, including ERP systems (e.g., EPICOR), Microsoft Office Suite, Salesforce, and Atlassian tools (e.g., JIRA)
  • Ability to develop and manage project timelines and deadlines
  • Strong customer service orientation and professionalism are essential

WORK ENVIRONMENT:

  • The work environment is typical of an office setting, with exposure to manufacturing and laboratory facilities.
  • Physical demands include sitting, standing, walking, stooping, kneeling, and the ability to lift or move items weighing up to 25 pounds.
