ROLE SUMMARY:

The Spare Parts Customer Service Specialist is tasked with contributing to the achievement of the annual spare parts sales targets through effective collaboration with various functional teams, including Sales, Technical Support, and Aftermarket Services. This role encompasses managing the complete lifecycle of spare parts orders, from identifying customer requirements to quoting and finalizing sales.

KEY RESPONSIBILITIES:

  • Execute business processes related to spare parts order management, which includes:

- Generating quotes in accordance with established pricing protocols

- Conducting follow-up communications via phone or email

- Entering customer orders, including resolving any discrepancies in purchase orders

- Releasing customer orders while ensuring satisfaction with Plasma-Therm's services

  • Foster professional relationships with key clients and representatives
  • Strive to meet or surpass the financial objectives set for the Parts division
  • Adhere to the established processes for parts order management

- Maintain daily metrics for the parts order process

  • Identify potential gaps and suggest improvements in departmental processes
  • Address invoice discrepancies between accounting and clients
  • Participate in cross-functional initiatives as required
  • Perform additional duties as assigned
  • All employees are expected to comply with Plasma-Therm's Safety & Health, Quality, and Environmental processes.

SUPERVISORY ROLE:

No supervisory responsibilities are associated with this position.

QUALIFICATIONS:

  • A Bachelor's Degree is required
  • 0 - 2 years of experience in customer service or a related field

SKILLS AND ATTRIBUTES FOR SUCCESS:

  • Effective communication skills for interdepartmental and external interactions
  • Team-oriented mindset with a capacity for quick learning
  • Familiarity with necessary software and systems, including ERP systems (e.g., EPICOR), Microsoft Office Suite, Salesforce, and Atlassian tools (e.g., JIRA)
  • Ability to develop and monitor project timelines and deadlines
  • Strong customer service orientation and professionalism are essential

WORK ENVIRONMENT:

  • The typical work environment includes a business office, manufacturing area, and clean room/laboratory settings.
  • The role may require sitting, standing, walking, bending, kneeling, and the ability to lift or move items weighing up to 25 pounds.
