PRIMARY OBJECTIVE:
The Accounts Receivable and Billing Coordinator plays a crucial role in delivering outstanding customer support as the primary liaison for clients and pharmacy staff across various communication channels.
This position involves adeptly utilizing internal systems to gather necessary information for thorough investigation and resolution of billing inquiries, including but not limited to account balances, charges, payments, and claims directed to responsible parties.
Additionally, the Coordinator is tasked with examining aged account balances and implementing appropriate measures to facilitate payment collection.
KEY RESPONSIBILITIES:
• Deliver exceptional service to clients and pharmacy staff through diverse communication methods such as phone, email, and internal requests.
• Investigate and process claims, ensuring that the correct parties are billed accordingly.
• Analyze account balances, charges, and payments, taking necessary actions to resolve each inquiry, including processing payments, making account adjustments, and issuing refunds.
• Review aged account balances, taking appropriate actions such as verifying charge accuracy, sending final notices, making follow-up calls, establishing payment plans, entering adjustments, and collaborating with collection agencies.
• Confirm customer information, ensuring account accuracy and compliance with privacy regulations during each interaction.
• Maintain accurate documentation for all actions taken on accounts or internal requests.
• If immediate resolution is unattainable or further investigation is required, ensure timely follow-up.
• Identify and propose enhancements to existing processes, collaborating with management to implement improvements.
• Effectively utilize various technologies and resources, including TWRx, PeopleSoft, OnBase, and insurance websites, to complete tasks as necessary.
• Assist with special projects as requested by management.
• Stay informed about new and evolving technologies, implementing them as needed.
• Uphold the confidentiality of all patient information, adhering to privacy guidelines and company protocols.
• Present a professional image by maintaining a well-groomed appearance in line with company standards.
• Adapt to changing work roles and responsibilities as required by the environment.
• Perform additional duties as assigned.
MINIMUM QUALIFICATIONS:
Education, Experience, Skills, and Abilities:
• Associate's Degree or equivalent experience.
• Strong verbal and written communication skills, with the ability to engage effectively with clients, team members, and leadership.
• Excellent attention to detail to ensure accuracy in work and prompt resolution of customer concerns.
• Proficient computer skills, including familiarity with Word, Excel, and Outlook.
Ability to:
• Troubleshoot and resolve issues using available tools and resources before escalating.
• Prioritize tasks, manage multiple responsibilities, and handle workload efficiently.
• Maintain professionalism in stressful situations and manage customer escalations gracefully.
• Foster effective working relationships with colleagues and management.
• Uphold confidentiality standards.
DESIRED QUALIFICATIONS:
• Familiarity with pharmacy insurance processing is preferred; willingness to learn quickly if lacking.
• Knowledge of PeopleSoft, TWRX, and OnBase is advantageous.
