Job Summary

We are seeking a highly skilled and detail-oriented Administrative Associate to provide comprehensive support for the Graduate School of Education (GSE) and the Digital Learning Initiative (DLI) at Stanford University.

Key Responsibilities
  • Manage logistics for conferences, events, and meetings, including coordinating schedules, booking venues, and arranging travel for faculty and visitors.
  • Process financial transactions, such as purchase orders, reimbursements, and vendor payments, in compliance with Stanford University policies.
  • Record keeping, including registration records, event attendance, and follow-up, to ensure accurate and up-to-date information.
  • Format and proofread academic papers, newsletters, graphic visualizations, and other documents to ensure high-quality output.
  • Provide administrative support for the GSE/SAL administrative team, including serving as a resource for business expense policies, procedures for administrative activities, and resource procurement.
Requirements
  • High school diploma and three years of administrative experience or a combination of relevant experience and education.
  • Advanced computer skills, including proficiency in applications such as Excel, Word, Google Suite, and Project Management Software.
  • Familiarity with Stanford University financial systems and experience working with financial systems in an institution of higher education.
  • Ability to coordinate and manage multiple projects with competing priorities, meet deadlines, and project plans with short- and long-term end dates.
