Job Title: Administrative Associate

Stanford University is seeking a highly skilled and organized Administrative Associate to provide exceptional support to our team. As a key member of our staff, you will play a vital role in ensuring the smooth operation of our department.

Key Responsibilities:
  • Provide administrative support to faculty members and department managers, including scheduling, organizing, and operating complex conferences, seminars, and events.
  • Compose and draft documents, correspondence, and reports, and perform substantial editing and fact-checking.
  • Plan and schedule calendars, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Oversee and process complex financial transactions, produce, monitor, and reconcile budget statements, and research and resolve discrepancies.
  • Coordinate and monitor routine maintenance services, plan and coordinate office moves, and supervise day-to-day work of student and/or temporary workers.
Requirements:
  • At least two years of administrative experience working in a higher education institution.
  • At least one year of experience with coordinating pre-award research grant proposal submissions.
  • High school diploma and four years of administrative experience, or combination of education and relevant experience.
  • Advanced computer skills and demonstrated experience with office software and email applications.
  • Excellent organizational skills, attention to detail, and strong verbal and written communication skills.
