This role is entirely customer-oriented and will report to the Customer Service Manager, providing support for both sales and service inquiries.

Key Responsibilities

The primary duties include:

  • Ensuring that customer inquiries are addressed promptly and professionally.
  • Managing incoming calls during business hours, assisting with sales and service requests.
  • Accurately documenting customer account and order information in our ERP system.
  • Executing contract updates and notifying customers of any pricing changes.
  • Collaborating across departments to ensure timely creation, processing, and resolution of RMAs.
  • Supporting the service loaner program.
  • Proactively updating customers on RMA statuses.
  • Communicating the return of serviced devices to clients.
  • Maintaining a positive, collaborative, and constructive attitude in all interactions.
  • Acting as a liaison between customers, sales, clinical teams, and service departments.
  • Documenting and reporting customer feedback.
  • Performing additional duties as assigned.

Qualifications

Essential qualifications and experience include:

  • A high school diploma or equivalent.
  • A minimum of 3 years of relevant experience.
  • Experience in the manufacturing or medical device industry is preferred.
  • Exceptional customer service and interpersonal skills.
  • Able to thrive in a fast-paced environment while adhering to company protocols.
  • Strong computer proficiency.
  • Ability to foster relationships across the organization and collaborate with cross-functional teams.
  • Proven capability to manage multiple priorities effectively.
  • Ability to handle challenging customer situations with composure and professionalism.
  • Self-motivated and detail-oriented.
  • Familiarity with CRM software (Salesforce) and Syspro systems is preferred.
