POSITION SUMMARY:

The Patient Intake Coordinator plays a crucial role in managing all incoming referrals from various sources, including healthcare providers, discharge planners, and case managers. This position ensures that all intake documentation is complete, clear, and aligns with the company's service offerings. Responsibilities include entering patient demographic information into the system, verifying insurance coverage, obtaining valid physician orders, and effectively communicating service capabilities to referral sources. Additionally, the coordinator collaborates with other departments to streamline the delivery process and keeps patients and their families informed about coverage, payment responsibilities, and scheduling.

QUALIFICATIONS:

  • High School Diploma or equivalent; two years of college education is preferred.
  • Proficient in English, both spoken and written, with a strong grasp of grammar. Familiarity with office technology, including computers and telecommunication systems, is essential.
  • Understanding of Medicare, Medicaid, and third-party insurance regulations, as well as medical terminology and billing codes.
  • Knowledge of regulatory standards for Medicare and specific payer guidelines to assist in insurance verification.
  • 0 to 2 years of experience in a Home Infusion Company, Home Health Agency, or similar healthcare environment focusing on intake coordination and insurance verification.
  • Ability to adapt in a dynamic environment, manage multiple tasks efficiently, and maintain high-quality standards.
  • Familiarity with medical terminology, diagnosis codes, and billing practices in a healthcare context.
  • Strong interpersonal skills with the ability to work independently and collaboratively.
  • Excellent organizational and planning abilities to enhance productivity.
  • Effective verbal and written communication skills for information exchange and documentation.
  • Capability to identify and address routine issues while escalating complex matters to supervisors.
  • Proficient in standard office software applications; ability to learn specialized software like CPR+.
  • Commitment to providing exceptional customer service.

KEY RESPONSIBILITIES:

  • Accurately processes all referrals, ensuring timely entry into the company’s software system.
  • Maintains data integrity by entering information promptly and accurately.
  • Secures necessary physician orders and/or service management notifications for therapy provision.
  • Adheres to legal and ethical standards to protect patient confidentiality and proprietary information.
  • Complies with HIPAA regulations to safeguard patient health information.
  • Engages professionally with clients and referral sources.
  • Coordinates insurance verification and informs patients of any financial obligations.
  • Obtains payment confirmations for patients designated as pre-pay prior to service delivery.
  • Processes referrals based on existing contracts and payer information, including obtaining necessary authorizations.
  • Ensures timely communication of referrals to relevant departments.
  • Manages daily workload effectively to meet patient needs.
  • Informs referral sources and departments if a referral cannot be accepted and assists in finding alternative solutions.
  • Maintains consistent communication with clinics, patients, and pharmacies to coordinate infusion services.
  • Performs duties in accordance with established regulatory guidelines and reports any non-compliance to management.
  • Delivers outstanding service to patients and third-party payors, fostering effective communication.
  • Integrates new technologies and systems to enhance referral processing efficiency.
  • Other responsibilities as assigned.
