**Job Title:** Front Desk Coordinator

**Job Summary:** We are seeking a highly skilled and experienced Front Desk Coordinator to join our team at Charlotte Country Club. The successful candidate will be responsible for providing exceptional customer service, managing the front desk operations, and ensuring a seamless experience for our members and guests.

Key Responsibilities:

  • Coordinate coverage and train part-time Front Desk Associates and key team members to ensure the front desk is consistently staffed and operating efficiently.
  • Assign daily tasks and weekly projects to Front Desk Associates, including clerical work for other departments such as menu edits for our a la carte dining rooms.
  • Utilize institutional knowledge to assist with CCC inquiries from members, guests, and team members, providing accurate and timely information.
  • Arrive promptly to write and send the Daily Report, read, respond, and organize emails in the reception inbox, update reservations, and listen and respond to voicemails.
  • Receive members and their guests with a prompt, hospitable, and respectful attitude, assisting them with a variety of services including making reservations, answering questions, facilitating the pickup of catering or wine orders, and assisting with directions.
  • Greet vendors and visitors to the club promptly and professionally, assisting them with any inquiries and/or connecting them with the appropriate person.
  • Operate the phone switchboard system to receive all incoming calls and route calls to the appropriate destination.
  • Handle confidential information in a professional manner.
  • Take and confirm dining and special event reservations and provide information to departments about these events. Make confirmation calls to members regarding reservations.
  • Connect with management daily on the reservation status of each a la carte dining room and any limited availability. Ensure reservation blocks are in place for necessary dining management, club closures, or blackout dates.
  • Sort and distribute mail; Maintain the appearance of the lobby, front office, and coat room, including organization of the Lost & Found.
  • Provide administrative assistance to clubhouse leadership team and assist with special projects and other duties as required.
  • Attend Banquet Meeting and discuss any event-related projects for the following week.
  • Maintain organization in the office, as well as stocking any office supplies, communicating with appropriate departments when stock runs low.
  • Maintain consistent knowledge of club-related services, events, and updates on a continual basis; thorough understanding of club marketing materials.
  • Available approximately hours per week with open availability Tuesday - Saturday 8am-8pm and Sunday from 9:00am - 2:00pm to support coverage needs.
  • Performs other duties as assigned.

Requirements:

  • Excellent communication and customer service skills required.
  • Positive attitude required.
  • Ability to respond to multiple requests cheerfully under pressure.
  • Strong computer skills required, including proficiency in Microsoft Word, PowerPoint, and Excel; Canva.
  • Detail-oriented, organized, clean, and neat, and the ability to multi-task are essential.

Physical Requirements:

  • Most of the job is performed while sitting, although the work may require occasional standing or walking.
  • Must be able to climb stairs; Must be able to lift 35 lbs. daily.
  • Ability to bend, reach, and lift frequently.

Education/Experience:

  • High School Diploma or equivalent.
  • Two years administrative or hospitality experience required.
