This role provides essential support to the General Surgery Program Administrator in alignment with the standards set by the Accreditation Council for Graduate Medical Education (ACGME). The position is responsible for the coordination of fellowship programs including Critical Care, Colorectal, Transplant, and Vascular. The incumbent will oversee the maintenance of procedure credentialing records and prepare quarterly reports.

Key Responsibilities:

  • Manage New Innovations for the Department of Surgery Education Programs, encompassing both residency and fellowship initiatives.
  • Offer administrative assistance to the Program Director.
  • Maintain all modules, graphs, and reports within the New Innovations Database.
  • Provide training for users on New Innovations related to duty hours, evaluations, and conference attendance.
  • Compile data for census reports, accreditation documentation, and other necessary records.
  • Prepare and distribute Weekly Morbidity & Mortality reports.
  • Administer Continuing Medical Education (CME) credits for Surgery Morbidity and Mortality Conferences, Surgery Grand Rounds, and Surgical ICU Weekly Conferences.
  • Track vacation time for residents and fellows.
  • Conduct monthly evaluations tracking for the Program, Faculty, Fellows, and Residents.
  • Generate monthly reports that monitor resident performance accuracy.
  • Assist in organizing recruitment activities, preparing applicant folders, and coordinating resident examinations.
  • Facilitate the setup and proctoring of Fellowship examination days.
  • Engage with colleagues, visitors, and staff in a manner that reflects the core values of the organization.
  • Support the Program Administrator with the National Residency Matching Program (NRMP), Electronic Residency Application System (ERAS), and the evaluation of residency applications.
  • Coordinate applicant interviews, itineraries, match sessions, and statistical analysis.
  • Develop materials for distribution to candidates and faculty.
  • Plan and execute Rank Night and Fellowship events in collaboration with faculty and chief residents.
Qualifications

Educational/Training Requirements:

High school diploma or GED is required; a Bachelor's degree is preferred.

Experience Requirements:

A minimum of 5 years of relevant experience is required, with a preference for experience in higher education.

Additional Information:

Familiarity with ACGME annual requirements (ADS), Annual Program Evaluation (APE), and the Fellowship and Residency Electronic Interactive Database (FREIDA) is essential.

Proficiency in the following software programs is necessary: New Innovations, ADS, ACGME Milestones, ERAS, NRMP, and Microsoft Office Suite.
