Position Overview

The Property Management Administrative Coordinator plays a vital role in ensuring the smooth operation of our property management services. This position is essential for maintaining high standards of tenant satisfaction and operational efficiency.

Key Responsibilities
  • Act as the primary point of contact in the absence of the Property Manager.
  • Maintain consistent on-site presence alongside the property management team, which may include weekend shifts.
  • Address and resolve maintenance requests promptly, prioritizing health and safety concerns.
  • Identify and implement cost-saving measures for maintenance operations.
  • Review and manage contract services related to property management.
  • Maximize occupancy rates of available rental units.
  • Maintain low collection rates each month.
  • Market available units effectively to prospective tenants.
  • Evaluate and ensure potential clients meet the necessary qualification criteria.
  • Facilitate lease renewals, aiming for high conversion rates.
  • Manage tenant communications, including calls, messages, and notices.
  • Establish and update utility accounts for properties.
  • Collaborate with the rent collection team for timely financial outcomes.
  • Work closely with accounting to ensure accurate property-related information.
  • Coordinate with the Renovations Manager for timely marketing of new units.
  • Assign and follow up on maintenance requests with the maintenance team.
  • Continuously seek to enhance property performance and reduce operational costs.
  • Serve as a liaison between tenants and property owners.
  • Oversee property maintenance, addressing tenant complaints, repairs, and service contracts.
  • Ensure maintenance schedules are adhered to and resources are available for team members.
  • Monitor budgets and key performance indicators, motivating staff to achieve company objectives.
  • Respond to inquiries in a timely manner.
  • Adhere to company policies and procedures.
  • Engage in ongoing learning and professional development.
  • Complete additional administrative tasks and special projects as assigned.
Qualifications
  • High School Diploma required; Associate's degree preferred.
  • Experience in property management or real estate management is essential.
  • Ability to manage time-sensitive tasks effectively.
  • Familiarity with AppFolio Property Management Software is a plus.
  • Proficient in Google Docs/Suite and MS Office applications.
  • Strong interpersonal skills and the ability to connect with diverse personalities.
  • Detail-oriented with excellent organizational and problem-solving abilities.
  • Outstanding communication skills, both written and verbal.
  • Self-motivated and results-oriented, with a desire for professional growth.
  • Willingness to work flexible hours, including evenings and weekends as needed.
  • Commitment to providing exceptional customer service.
  • Ability to thrive in a fast-paced environment.
  • Must pass a pre-employment drug screening and background check.
