Role Summary

The Client Relations Specialist will play a pivotal role in ensuring outstanding customer interactions and will serve as the primary point of contact for both internal and external clients. Acting as a facilitator and innovator, the Specialist will address customer inquiries and issues promptly, courteously, and effectively. Building enduring relationships with clients through transparency and trust is essential. Exceptional written and verbal communication skills, focused on customer satisfaction, are crucial for success in this position.

KEY RESPONSIBILITIES:
  • Deliver exceptional service to all clients.
  • Provide information regarding product pricing, availability, and lead times within established guidelines.
  • Manage a diverse portfolio of domestic and/or international clients.
  • Accurately and efficiently enter a high volume of Purchase Orders into the ERP system.
  • Handle order modifications, adjustments, cancellations, credits, and return authorizations.
  • Identify and manage complex documentation and client requirements, including Terms and Conditions and specifications.
  • Collaborate with Manufacturing, Engineering, Sales, and Shipping teams to ensure client satisfaction.
  • Address client concerns, propose acceptable solutions and alternatives swiftly, and follow up to ensure resolution.
  • Assist Shipping and Logistics teams with order fulfillment for both domestic and international clients.
  • Report potential safety hazards to supervisors and adhere to all ISO procedures.
  • Perform additional duties as assigned by management.
QUALIFICATIONS:
  • Proficient in composing correspondence and creating basic Excel spreadsheets.
  • Effective time management skills.
  • Ability to prioritize and manage multiple tasks successfully.
  • Strong attention to detail.
  • Capability to work independently as well as part of a team.
  • Dependability is essential.
  • Typing skills (40 WPM or more) and mathematical proficiency.
EDUCATIONAL BACKGROUND AND EXPERIENCE:
  • High school diploma or GED equivalent is required.
  • Some college education is preferred but not mandatory.
  • Minimum of 2 years of relevant experience.
  • Familiarity with data entry and ERP systems (Navision/MS Dynamics preferred).
  • Willingness to travel for training and relationship-building as necessary.
