Job Summary

The Event & Communication Coordinator is a key member of our team, responsible for managing various projects, including event coordination, volunteer management, content creation, and in-kind donations. This role requires strong organizational skills, attention to detail, and excellent communication skills.

Key Responsibilities
  • Coordinate fundraising and communications project schedules, deadlines, and production meetings.
  • Assist in planning and executing fundraising events, such as galas, graduations, and other programming events.
  • Coordinate event logistics, including venue scouting, vendor management, contract negotiation, and budgeting.
  • Research and suggest speakers and stories to feature at events to support event goals.
  • Source or provide photography for projects and events, and assist with promotional videos.
  • Coordinate volunteer communications, activities, and maintain internal tracking systems.
  • Effectively communicate with internal and external stakeholders, fostering strong relationships to achieve successful outcomes.
  • Source and write creative content for fundraising communications and social media platforms that align with our brand.
  • Manage budgets for book projects and ensure timely purchase and distribution of books.
  • Develop relationships with bookstores and online vendors for discounted rates.
  • Oversee the implementation of book projects, such as book fairs, literacy kits, and tutoring materials.
  • Ensure books promote strong lead characters, both male and female, celebrating diversity.
  • Source and supervise distributions of donated items to families, ensuring age-appropriateness.
  • Track in-kind donations and prepare acknowledgment letters to express gratitude.
Requirements
  • Ability to understand and promote the mission, vision, and values of Way to Grow.
  • Proficiency in using Microsoft Office applications.
  • Capacity to maintain complete confidentiality with sensitive information.
  • Excellent organizational skills, including ability to manage multiple projects concurrently.
  • Ability to demonstrate initiative and flexibility, achieve independent goals, and thrive in a team environment.
  • Proficiency in effective oral and written communication.
  • Ability to work with diverse populations, culturally competent.
  • Ability to display the highest level of professionalism, courtesy, tact, compassion, and discretion in all interactions.
  • Ability to work flexible hours, including evenings and weekends for events.
Education and Experience
  • Bachelor's Degree in a related field.
  • Two years of event coordination experience (preferred 4 years).
