Position Overview

The Events and Sponsorship Coordinator plays a vital role within the MHQ team, executing the vision set forth by clients and executive directors. This position collaborates closely with both the CEO and client teams to provide exceptional marketing communications services.

Key Responsibilities

Event Coordination (50%)

  • Assist the Events Manager and Executive Directors in organizing and executing client and MHQ events, including:
  • Managing monthly webinars for clients.
  • Supporting annual in-person conferences for approximately six client associations.
  • Conducting research on vendors and making recommendations.
  • Creating content for event materials and collaborating with graphic designers.
  • Overseeing event logistics, including registration inquiries and on-site support.

Sponsorship Coordination (50%)

  • Develop a comprehensive understanding of MHQ clients and their sponsorship offerings.
  • Maintain and implement a sponsorship outreach plan.
  • Foster strong relationships with clients and sponsors, ensuring regular communication.
  • Track and manage sponsorship benefits and invoicing.

Qualifications

  • 2-3 years of experience in event planning and sponsorship management.
  • Proven ability to coordinate multiple events simultaneously.
  • Strong organizational, communication, and multitasking skills.
  • Experience with Association Management Systems is a plus.
