Position Summary

The Events and Advancement Coordinator is responsible for the strategic planning and operational support of events tailored for the College of Liberal Arts' stakeholders, including donors, alumni, and the broader college community. This role is pivotal in fostering relationships and enhancing the visibility of the college's initiatives, ensuring that events reflect the college's mission and objectives.

Work Arrangement: Flexible hybrid model; a minimum of one day in the office each week, in addition to event attendance.

Compensation Range: $40,000 - $45,000; part-time position (32 hours per week).

Key Responsibilities

Event Coordination (70%)

  • Under the guidance of the Director of Alumni Experiences & College Events, orchestrates internal gatherings for faculty and staff, such as award ceremonies, academic year launches, and faculty emeriti dinners.
  • Manages event logistics, including room reservations, virtual platform arrangements, supply and catering orders, and coordination with venue personnel and technical specialists.
  • Develops and implements project plans, timelines, reports, and necessary documentation.
  • Provides on-site event management, including setup, registration oversight, audiovisual support, and overall event coordination.
  • Handles general event logistics, such as registration processes, nametag creation, mailings, and preparation of event materials.
  • Offers occasional assistance to various departments and centers within the college for their events and initiatives through project management and logistical support.
  • Monitors event budgets, processes invoices, and manages vendor relationships.
  • Prepares briefing documents and collaborates with development staff on guest profiles as required.
  • Creates email communications and invitations using Salesforce Marketing Cloud.
  • Develops presentations and videos for events as needed.
  • Edits and uploads event recordings to online platforms post-event.
  • Creates and updates event pages on the college's website using Drupal.

Alumni Engagement Support (15%)

  • Assists in the execution of programs and events designed to engage and support alumni.
  • Facilitates the annual awards nomination and presentation process for alumni recognition.
  • Tracks alumni and donor engagement metrics (event participation, volunteer involvement, board memberships, etc.) in the university's donor management system and generates reports as needed.
  • Conducts alumni research to support engagement efforts.

Stewardship Engagement (15%)

  • Collaborates with the Associate Director of Stewardship to implement engagement events for donors, both on campus and in their local communities, such as recognition luncheons and campaign celebration events.
  • Assists with tasks related to donor recognition and engagement initiatives.
  • Facilitates donor visits for development officers as required.
  • Works alongside the Associate Director of Stewardship to manage administrative tasks, including acknowledgment letters, event invitations, and stewardship reports.

Qualifications

Required:

  • Bachelor's degree or equivalent combination of education and experience totaling at least four years.
  • Proven experience in event planning and execution.
  • Strong organizational and project management skills.
  • Ability to lift items weighing over 25 pounds.
  • Capacity to remain on foot for extended periods.
  • Willingness to attend and manage events outside of standard working hours.

Preferred:

  • Experience in organizing award ceremonies.
  • Background in development or fundraising support.
  • Familiarity with donor database systems and/or CRM platforms.
