Job Overview

Temp-to-hire, $30/hr.

We are in search of a seasoned Financial Administrative Coordinator to provide comprehensive support to the executive leadership team at South Shore Staffing. This role encompasses a variety of financial responsibilities alongside the management of travel logistics and confidential communications. The ideal candidate will bring over a decade of combined experience in administration and finance within a respected corporate environment.


Key Responsibilities:

  • Deliver outstanding administrative assistance to the executive leadership team.
  • Handle financial duties including invoice processing, daily cash reconciliation, monthly bank statement reconciliation, journal entry posting, and maintaining the corporate trial balance.
  • Reconcile monthly billing from various suppliers.
  • Support project initiatives, prepare materials, and manage internal/external communications for executive meetings.
  • Build and maintain strong partnerships to assist leaders by effectively engaging with multiple stakeholders across various organizational levels.
  • Organize and manage communications with internal and external teams, ensuring meticulous records of correspondence are kept.
  • Assist in the administration of employee group benefits management.
  • Consolidate information and materials to prepare for executive meetings.
  • Identify gaps and opportunities to enhance leadership effectiveness in schedule management.
  • Handle sensitive and confidential information with the utmost discretion.

Qualifications:

  • Associate's degree with a minimum of 10 years of combined experience in administration and finance.
  • Exceptional organizational skills with a keen eye for detail.
  • Proficient in Microsoft Office Suite, as this role requires the preparation and organization of complex materials in Word, Excel, PowerPoint, Adobe, and other Microsoft applications.
  • Prior experience with QuickBooks or similar accounting software is preferred.
  • Demonstrated ability to manage multiple competing priorities effectively.
  • Self-driven with the capability to work independently, anticipating needs through proactive engagement and proven project management skills.
  • Able to adapt to shifting priorities and responsibilities as necessary.
  • Experience serving as Secretary to a Board of Directors is highly desirable.
  • Strong verbal and written communication skills, with a proven ability to craft correspondence and content that aligns with industry standards and company procedures.
  • Ability to meet deadlines and respond to rapidly changing demands.
  • Experience managing highly confidential information is crucial.
  • Immediate availability and a proactive approach are essential.
  • Strong organizational and analytical skills that demonstrate the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
