Position Summary:
This role is designed to provide comprehensive support to our executive leadership team, combining administrative expertise with financial acumen. The ideal candidate will possess a wealth of experience in both finance and administration, ensuring the smooth operation of our corporate office.
Key Responsibilities:
- Deliver outstanding administrative assistance to the executive leadership team.
- Manage financial responsibilities, including processing invoices, reconciling cash receipts, and maintaining accurate financial records.
- Oversee vendor invoice reconciliation on a monthly basis.
- Support project initiatives by preparing materials and facilitating internal and external communications for executive meetings.
- Build and maintain strong relationships with stakeholders at various levels within the organization.
- Organize and manage communications with internal and external teams, ensuring meticulous record-keeping.
- Assist in the administration of employee benefits programs.
- Consolidate information and materials to prepare for executive meetings effectively.
- Identify and address gaps and opportunities to enhance leadership effectiveness in managing schedules.
- Handle sensitive and confidential information with the utmost discretion.
Qualifications:
- Associate's degree with a minimum of 10 years of relevant administrative and finance experience.
- Exceptional organizational skills and a keen attention to detail.
- Proficient in Microsoft Office Suite, with the ability to prepare complex documents and presentations.
- Experience with accounting software such as QuickBooks is preferred.
- Demonstrated ability to manage multiple priorities efficiently.
- Self-motivated with a proactive approach to work and project management.
- Ability to adapt to changing priorities and requirements.
- Experience serving as Secretary to a Board of Directors is a plus.
- Strong verbal and written communication skills, with the ability to craft correspondence that aligns with industry standards.
- Proven track record of meeting deadlines and responding to dynamic demands.
- Experience managing confidential information is essential.
- Immediate availability and a proactive mindset are highly valued.
- Strong analytical skills that enable seamless multitasking with a focus on detail.
