Key Responsibilities:

  • Deliver outstanding administrative assistance to the executive leadership team.
  • Manage financial responsibilities, including processing invoices, reconciling cash receipts, and maintaining accurate financial records.
  • Oversee vendor invoice reconciliation on a monthly basis.
  • Support project initiatives by preparing materials and facilitating internal and external communications for executive meetings.
  • Build and maintain strong relationships with stakeholders at various levels within the organization.
  • Organize and manage communications with internal and external teams, ensuring meticulous record-keeping.
  • Assist in the administration of employee benefits programs.
  • Consolidate information and materials to prepare for executive meetings effectively.
  • Identify and address gaps and opportunities to enhance leadership effectiveness in managing schedules.
  • Handle sensitive and confidential information with the utmost discretion.

Qualifications:

  • Associate's degree with a minimum of 10 years of relevant administrative and finance experience.
  • Exceptional organizational skills and a keen attention to detail.
  • Proficient in Microsoft Office Suite, with the ability to prepare complex documents and presentations.
  • Experience with accounting software such as QuickBooks is preferred.
  • Demonstrated ability to manage multiple priorities efficiently.
  • Self-motivated with a proactive approach to work and project management.
  • Ability to adapt to changing priorities and requirements.
  • Experience serving as Secretary to a Board of Directors is a plus.
  • Strong verbal and written communication skills, with the ability to craft correspondence that aligns with industry standards.
  • Proven track record of meeting deadlines and responding to dynamic demands.
  • Experience managing confidential information is essential.
  • Immediate availability and a proactive mindset are highly valued.
  • Strong analytical skills that enable seamless multitasking with a focus on detail.
