Key Responsibilities:

  • Deliver outstanding administrative assistance to the executive leadership team.
  • Handle financial responsibilities including invoice processing, daily cash reconciliation, monthly bank statement reviews, journal entry postings, and maintaining the corporate trial balance.
  • Reconcile vendor invoices on a monthly basis.
  • Support project initiatives, prepare materials, and manage internal/external communications for executive meetings.
  • Build and maintain strong working relationships with various stakeholders across the organization.
  • Organize and manage communications with internal and external teams, ensuring detailed records of correspondence are maintained.
  • Assist in managing the Company’s employee benefits program.
  • Consolidate materials and information for executive meetings.
  • Identify opportunities to enhance leadership effectiveness in managing schedules.
  • Handle sensitive and confidential information with utmost discretion.

Qualifications:

  • An Associate's degree coupled with over 10 years of administrative and finance experience.
  • Exceptional organizational skills with a keen attention to detail.
  • Proficient in Microsoft Office Suite, capable of preparing and organizing complex documents in Word, Excel, PowerPoint, and Adobe.
  • Prior experience with QuickBooks or similar accounting software is preferred.
  • Demonstrated ability to manage multiple priorities effectively.
  • Self-motivated with the ability to work independently, anticipating needs through proactive project management.
  • Able to adapt to changing priorities and responsibilities.
  • Experience acting as Secretary to a Board of Directors is advantageous.
  • Highly developed verbal and written communication skills, with the ability to craft correspondence that aligns with industry standards and company protocols.
  • Proven ability to meet deadlines and adapt to rapidly changing demands.
  • Experience in managing confidential information is essential.
  • Immediate availability and a proactive approach are highly valued.
  • Strong organizational and analytical skills that enable seamless management of multiple tasks with excellent attention to detail.
