Position Summary: This role encompasses both financial and administrative responsibilities, including the management of travel arrangements and confidential communications. The ideal candidate will bring over a decade of combined experience in administration and finance, ideally within a prestigious corporate environment.

Key Responsibilities:

  • Deliver outstanding administrative assistance to the executive leadership team.
  • Handle financial duties such as processing payments, reconciling daily cash flow, and managing monthly bank statements.
  • Oversee the reconciliation of vendor invoices on a monthly basis.
  • Support project initiatives, prepare materials, and facilitate communication for executive meetings.
  • Build and maintain strong relationships with stakeholders across various levels of the organization.
  • Organize and manage communications with internal and external parties, ensuring meticulous record-keeping.
  • Assist in the administration of employee benefits programs.
  • Summarize and prepare materials for executive meetings.
  • Identify and address gaps and opportunities to enhance leadership effectiveness in schedule management.
  • Handle sensitive and confidential information with the utmost discretion.

Qualifications:

  • Associate's degree coupled with over 10 years of relevant administrative and finance experience.
  • Exceptional organizational skills and a keen eye for detail.
  • Strong proficiency in Microsoft Office Suite, with experience in preparing complex documents in Word, Excel, PowerPoint, and Adobe.
  • Familiarity with QuickBooks or similar accounting software.
  • Proven ability to juggle multiple priorities effectively.
  • Self-driven with the capability to work independently while anticipating needs.
  • Ability to adapt to changing priorities and manage various tasks efficiently.
  • Experience serving as Secretary to a Board of Directors is highly desirable.
  • Excellent verbal and written communication skills, with the ability to craft correspondence that aligns with industry standards.
  • Capacity to meet deadlines and respond to evolving demands.
  • Experience managing confidential information is crucial.
  • Immediate availability and a proactive approach are essential.
  • Strong organizational and analytical skills to prioritize tasks seamlessly.
