Compensation: $20.80/hour. Employee benefits may include health insurance (medical, dental, vision), a 401(k) plan, and paid sick leave, depending on the work location.

Key Responsibilities:

  • Organizing and coordinating meeting logistics, including travel and accommodation arrangements.
  • Managing calendars for meetings and events for management and departmental staff.
  • Preparing presentation materials and ensuring all necessary equipment and arrangements are in place for events.
  • Drafting and producing various documents while maintaining relevant databases and records.
  • Updating and managing departmental websites.
  • Conducting research, analyzing data, and summarizing findings for reports independently.
  • Assisting with departmental budgeting, processing expense reports, and maintaining filing systems.
  • Handling phone inquiries, routing calls, taking messages, and greeting visitors while providing routine information.
  • Effectively communicating and prioritizing incoming calls.
  • Ordering supplies and equipment, managing repair requests, and monitoring inventory and budget records.
  • Resolving routine issues and inquiries based on established procedures.
  • Responding to questions regarding departmental policies and procedures, and conducting research as needed.
  • Typing and proofreading documents created by others.
  • Creating and maintaining data for standard reports, charts, graphs, spreadsheets, and databases.
  • Handling confidential information with discretion.

Key Requirements and Experience:

  • High School diploma or equivalent preferred.
  • One to two years of experience in administrative support preferred.
  • Intermediate proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Strong internet research skills and familiarity with computer applications.
  • Experience in standard report generation and office administrative practices.
  • Ability to meet critical deadlines and demonstrate effective time management skills.
  • Excellent analytical, problem-solving, basic research, and time management abilities.
  • Strong verbal and written communication skills.
  • Ability to interact successfully with the public in person and over the phone.
  • Flexibility to assist in other departments as needed during busy periods or absences.
  • Proven ability to manage multiple tasks in a fast-paced environment with minimal supervision.
  • Professional demeanor and initiative to improve processes.
  • Good organizational skills, discretion, and independent judgment.
