Position: Security Administrator/Program Assistant III

Overview:

This role is essential in supporting the Bureau of Diplomatic Security, specifically within the Visa and Passport Analysis Branch (VPAB). The selected candidate will undertake a range of operational, administrative, and coordination tasks, manage various administrative reports, and review correspondence while directing significant items to the appropriate personnel.

Key Responsibilities:

  • Deliver comprehensive administrative support to the VPAB program office, staff, and management.
  • Conduct data entry, extraction, analysis, and reporting for various databases currently in use or under development for the program office's functions.
  • Provide document processing and writing assistance for administrative and program-related activities.
  • Maintain files of sensitive and classified documents, ensuring updates to required materials.
  • Coordinate the preparation, organization, delivery, and follow-up of assigned program operations.
  • Create, edit, and maintain flow charts, spreadsheets, and documents as needed.
  • Ensure proper file organization.
  • Support the preparation of status reports, briefing presentations, and special projects.
  • Develop charts, tables, graphs, and diagrams to assist in tracking and reporting program activities.
  • Draft and revise reports and tracking documents, including budgets and monthly reports.
  • Act as a subject matter expert on office procedures and requirements.
  • Perform additional duties as assigned.

Supervisory Responsibilities:

This position does not involve supervisory responsibilities.

Education and Experience:

  • An undergraduate degree with 4 years of specialized office experience is preferred, or a High School diploma/GED equivalent with 7 years of specialized administrative experience.
  • Specialized experience includes office management, expense tracking, executive-level correspondence review, database administration, and financial/project status tracking and reporting.

Knowledge, Skills, and Abilities:

  • Extensive knowledge of electronic database operations management and administrative processing procedures.
  • Proficiency in Microsoft Word, with basic skills in Excel and PowerPoint; experience with other database software is advantageous.
  • Strong editorial, clerical, and analytical skills, along with a willingness to learn specific program requirements.
  • Reliability, flexibility, maturity, and the ability to interact with personnel at all levels within the Department of State.
  • Attention to detail, strong follow-through skills, and the ability to maintain confidentiality.
  • Excellent organizational skills and the capacity to thrive in a fast-paced environment while meeting deadlines.

Security Clearance:

A SECRET Level Security Clearance is required.

  • Candidates must possess a current U.S. Government SECRET Personnel Security Clearance or be able to successfully complete a U.S. government-administered investigation.
  • Candidates must be U.S. Citizens and able to maintain a U.S. Government SECRET clearance.

Physical Demands:

The role requires physical activities such as lifting, sitting, answering phones, typing, and moving files.

Travel:

While travel is not anticipated, it may be required on occasion.

Work Environment:

The position is situated in a standard office environment, collaborating with other contractor personnel alongside State Department staff.
