Patient Account Coordinator

We are seeking a highly organized and detail-oriented Patient Account Representative to join our team at Midwestern University Comprehensive Care Clinic. As a Patient Account Representative, you will play a critical role in ensuring the smooth operation of our front office procedures.
Key Responsibilities- Greet and direct patients and visitors, providing a welcoming atmosphere and excellent customer service.
- Perform registration/check-in processes, including data entry, providing patients with necessary information and intake forms, and obtaining signatures.
- Calculate and collect patient liability based on insurance verification and expected reimbursement.
- Explain financial policies and available resources for alternative payment arrangements to patients and their families.
- Enter payments in our practice management system and perform daily payment reconciliation, ensuring accuracy and timeliness.
- Answer phones, scheduling appointments, taking messages, routing calls to departments, and responding to general inquiries.
- Schedule appointments accurately and complete pre-registration processes, including insurance verification and identification of POS collection amounts.
- Make appointments from calls and orders work queues, ensuring efficient use of time.
- Reschedule and cancel appointments, communicating with patients/families and providers/clinics as needed.
- Coordinate multiple appointments, prioritizing tasks and managing time effectively.
- Provide positive patient interactions, speaking with patients, care providers, and others while on phones and in clinic.
- Provide instructions prior to appointment as directed by service department, ensuring patients are well-prepared.
- Offer directions, maps, and parking instructions to patients and visitors.
- Secure demographics, guardian, and emergency contact information, as well as insurance coverage details.
- Verify insurance eligibility and benefits when necessary, ensuring accurate billing and reimbursement.
- Update demographics when patient information changes, maintaining accurate records.
- Request and enter referral information when necessary, facilitating smooth communication.
- Notify patients of co-payments, deductibles, co-insurance, and collect outstanding balances during scheduling process when appropriate.
- Comply with state and federal regulations related to healthcare, ensuring adherence to industry standards.
- High school diploma or GED and a minimum of 2 years' experience working in a healthcare setting.
- Experience working in a team environment with a high focus on customer service and the ability to maintain a professional demeanor.
- Computer proficiency in MS Office (Word, Excel, Outlook) and experience using medical practice management software.
The work environment is moderate, with occasional noise levels. The physical demands of this role include sitting, talking, and hearing, with occasional standing and walking. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
