Position Responsibilities

Management of Enrollment Processes:

  • Coordinate appointments and manage walk-in services for Personal Identity Verification (PIV) Card Activations, Enrollments, Certificate Updates, and PIN Resets.
  • Respond to inquiries via phone and email regarding PIV credentials and access control.
  • Oversee the card enrollment process, ensuring the verification of applicants' identities and the collection of necessary documentation.
  • Manage scheduling to ensure a smooth flow of applicants while maintaining efficiency and accuracy.

Documentation and Data Management:

  • Accurately gather and document personal information, biometric data (including fingerprints), and other essential details from applicants.
  • Ensure that all required documents and forms are completed and submitted according to established protocols.

Verification and Authentication:

  • Confirm the authenticity of submitted documents and information to prevent fraudulent activities.
  • Utilize approved verification methods to validate the identity of applicants before proceeding with enrollment.

Data Security and Privacy:

  • Handle sensitive personal information with utmost care, adhering to data protection regulations and security protocols.
  • Safeguard the integrity of collected data and prevent unauthorized access or disclosure.

Effective Communication:

  • Provide clear and professional communication with applicants, outlining the enrollment process, required documents, and additional steps.
  • Deliver exceptional customer service to address inquiries and concerns regarding the enrollment process.
  • Manage escalations by actively listening and responding to customer needs and expectations.
  • De-escalate challenging customer interactions while maintaining a calm and friendly demeanor.

Recordkeeping:

  • Maintain precise records of the enrollment process, documenting each applicant's information, enrollment date, and any issues encountered.
  • Prepare and manage spreadsheets to track the status of new applicants, contractors, and federal employee files.

Compliance and Training:

  • Stay informed about relevant policies, regulations, and procedures related to PIV card enrollment.
  • Participate in training sessions to enhance knowledge of enrollment processes, data security practices, and customer service skills.
Qualifications

Travel Requirements:
This position requires 50-75% domestic travel, with trips lasting one week or longer. Candidates must be willing to travel on short notice and will perform regular duties at assigned locations when not traveling. An American Express credit card for travel expenses is necessary.

Essential Competencies:

  • Proficiency in Microsoft Excel for data management, coordination, and reporting.
  • Ability to adapt to evolving security procedures and requirements.
  • Prior experience in a similar role, customer service, or administrative position is advantageous.
  • Strong attention to detail and organizational skills.
  • Excellent interpersonal and communication abilities.
  • Capability to handle confidential information with discretion.
  • Willingness to perform other job-related duties as assigned.

Physical Requirements:

  • The role primarily involves sedentary work, with occasional stair climbing.
  • Periodic standing and/or walking for extended durations may be required.
  • Occasional activities such as reaching, squatting, bending, pulling, grasping, holding, and lifting objects may be necessary.
  • Frequent typing and effective communication through talking and listening are essential.

Education:
High School diploma or GED certification is required.

Clearance Requirement:
U.S. Citizenship is mandatory. Candidates must have an active Public Trust/MBI clearance or the ability to obtain one.
