The Technology for Effective and Efficient Learning (TEEL) Lab at Carnegie Mellon University is at the cutting edge of research in learning science, focusing on the design and development of innovative educational technologies. The lab curates curricula in emerging fields to enhance workforce training and creates interactive learning platforms that foster social engagement through collaborative exploration and hands-on experiences in areas such as cloud computing, data science, machine learning, and artificial intelligence (AI).

The TEEL Lab comprises a collaborative team of faculty, researchers, designers, developers, learning scientists, and students who support one another in a dynamic, results-driven environment. Utilizing agile cloud-native development principles, the team develops cloud-hosted microservices as part of a learner-centered online ecosystem.

We are looking for a Project Coordination Specialist to join our vibrant team of over 40 members. This role involves assisting in the management of moderately complex projects and educational initiatives within the TEEL Lab. Responsibilities include supporting the lab in the recruitment and onboarding of staff, research assistants, and teaching assistants. The ideal candidate will engage with the public, community college partners, and university staff to promote the TEEL Lab through various communication channels, including meetings and website updates, while coordinating with university communications and marketing teams. Additionally, the role entails overseeing daily operations to ensure projects progress smoothly and meet deadlines, managing budgets and project plans, organizing events, and monitoring workflows and deliverables.

Key Responsibilities:

Project Management Support:

  • Generate weekly and monthly reports using internal systems and spreadsheets.
  • Conduct monthly reviews of lab expenditures for accuracy.
  • Assist lab members in compiling and editing reports for clarity and precision.
Recruitment and Onboarding:
  • Act as a liaison between the department's business office and the TEEL Lab for recruitment processes.
  • Gather necessary information from team members prior to hiring and keep them informed throughout the process.
  • Facilitate the onboarding of new team members and assist with offboarding processes.
Client Interaction:
  • Manage incoming requests from clients and ensure timely completion.
  • Communicate with potential clients regarding service inquiries and schedule meetings.
  • Maintain communication with existing clients to address course setup and support needs.
  • Implement a ticketing system for efficient handling of partner requests.
Meeting Coordination:
  • Utilize university resources for scheduling meetings and managing calendars.
  • Prepare meeting agendas and document notes for follow-up actions.
  • Act on meeting outcomes by coordinating next steps and communications.
External Communication:
  • Update and maintain the TEEL Lab and Sail() Platform websites with relevant information.
  • Promote lab activities through collaboration with the university's communications department.
Event Planning:
  • Organize and support workshops, conferences, and meetings both on and off campus.
  • Coordinate logistics for graduation ceremonies and professional development events.
Financial Management:
  • Collect and process receipts and expense reports for team members.
  • Manage purchasing card transactions for recurring expenses.
  • Arrange travel for faculty team trips as needed.

Qualifications:
  • Bachelor's Degree
  • 1-2 years of project management experience.
  • 3-5 years of relevant work experience.
  • Strong analytical, communication, organizational, and problem-solving skills.
  • PMP PMI certification preferred.
