Key Responsibilities:

  • Interpret and manage contract details, ensuring accurate project data entry into the financial system in line with contractual obligations and company standards.
  • Review project initiation documents for critical elements such as contract value, budget parameters, scope of services, fee structures, payment conditions, and necessary approvals.
  • Validate and adjust project rate schedules and demographic information as provided by project leaders.
  • Ensure compliance with contract terms regarding mark-ups, tax implications, and invoicing formats.
  • Process employee expense reports promptly to facilitate timely payments and corrections as needed.
  • Administer electronic timesheet procedures, understanding the flow of labor classifications and project billing.
  • Initiate the billing cycle within established timelines by generating prebill reports, implementing project manager feedback, and finalizing invoices with required documentation.
  • Monitor accounts receivable and payable as necessary for project management.
  • Evaluate project revenue by identifying discrepancies and making necessary budget adjustments, entering completion percentages as directed.
  • Produce required systems reports as needed.
  • Maintain all documentation in accordance with corporate and branch policies.
  • Perform additional related tasks as assigned.

Qualifications:

  • A High School diploma with four (4) years of experience in project administration and invoicing, or an associate degree with two (2) years of relevant experience, or a bachelor’s degree in accounting or finance, or an equivalent combination of education and experience.
  • Proficiency in Microsoft Office and foundational data entry skills.
  • Ability to comprehend and interpret moderately complex instructions, contracts, and correspondence.
  • Competence in drafting moderately complex correspondence and reports.
  • Capability to effectively communicate information to project managers and internal stakeholders.
  • Professional interaction skills to maintain cooperative relationships with colleagues and management.
  • A valid U.S. driver’s license and a satisfactory driving record for business travel.
