Position Overview:


The Property Management Assistant plays a crucial role in supporting the Community Manager with the overall administration and upkeep of the property.

This position reports directly to the Community Manager and the Regional Property Manager.


Key Responsibilities:
  • Maintain resident files in compliance with property management policies and regulations.
  • Assist in marketing and advertising efforts for property vacancies in line with the Affirmative Fair Housing Marketing Plan.
  • Help manage the property waiting list according to the Tenant Selection Plan.
  • Process housing applications in accordance with affordable housing regulations.
  • Prepare deposits for banking and conduct daily bank runs.
  • Timely posting of resident payments into the Yardi system.
  • Support the Community Manager in generating monthly management reports.
  • Assist in managing work orders and documentation in Yardi.
  • Help order office and maintenance supplies within the approved budget.
  • Collaborate with maintenance staff to ensure timely turnover of vacant units.
  • Prepare late notices and rent payment reminders.
  • Assist in legal processes as needed.
  • Conduct property tours for prospective residents.
  • Maintain organized office and resident files.
  • Engage in competitive market analysis and marketing initiatives.
  • Provide assistance to residents as required.
  • Record daily traffic in the software system.
  • Follow up with prospective residents within 24 hours of their visit.
  • Address resident complaints promptly and professionally.


Attendance at company-sponsored events related to team development is required, which may occasionally involve overnight travel.

Additional duties may be assigned as necessary.


Strive to maintain 100% occupancy and ensure a clean, safe, and well-maintained community for all residents.

Foster positive relationships with internal departments at CORE.

Assist the Community Manager in processing annual re-certifications within set timelines.

Exhibit professionalism, integrity, and confidentiality in all aspects of the role.

We encourage participation in company-sponsored Tax Credit Specialist (TCS) certification courses for professional growth, as TCS certification is a prerequisite for advancement to a Community Manager position.


Qualifications:
  • High school diploma or equivalent with strong verbal and written communication skills.
  • A minimum of 2 years of experience in property management, ideally within an affordable housing context.
  • At least 1 year of experience in an administrative role.
  • Basic understanding of budgeting principles.
  • A minimum of 1 year of experience in a customer service setting with excellent interpersonal skills.
  • Proficient in Microsoft Office applications including Word, Excel, and Outlook.
  • Basic bookkeeping knowledge and understanding of general math principles.
  • Experience managing aged receivables.

Physical Requirements/Work Environment:
  • Ability to sit and walk for extended periods.
  • Proficient in operating a computer.
  • Occasional lifting and climbing of stairs may be required.
