Job Summary:

The Texas Department of Aging & Disability Services is seeking a highly skilled Administrative Assistant III to join our team. As a key member of our Access and Eligibility (AES) team, you will play a critical role in supporting the Foster Grandparent Program (FGP) in achieving its mission to connect Texans to people, services, and supports.

Key Responsibilities:
  • Provide complex administrative support to the FGP Supervisor and Volunteer Services Coordinator, including responding to inquiries, collecting and entering program data, and preparing reports and documents.
  • Assist with the intake process, training of incoming volunteers, and coordination of monthly volunteer in-service meetings, FGP events, and activities.
  • Track and maintain accurate records of volunteer time and mileage, child tracking forms, annual child progress reports, program satisfaction surveys, and volunteer performance evaluations.
  • Prepare and disseminate program information, including fliers, newsletters, invitations, banners, calendars, birthday cards, certificates, and awards.
  • Attend required conferences and FGP/HHSC training as designated by the FGP Manager.
Requirements:
  • Knowledge of office and administrative practices and procedures.
  • Skilled in operating a computer and software applications, including Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook).
  • Effective communication skills, both verbally and in writing.
  • Ability to work collaboratively and cooperatively with diverse groups.
  • Ability to review work for accuracy and make arithmetical computations.
Working Conditions:

This position requires a high level of accuracy, attention to detail, and organizational skills. The ability to work independently and as part of a team is essential. The successful candidate will be able to maintain confidentiality and handle sensitive information with discretion.
