We are seeking an experienced Executive Assistant to provide high-level administrative support to our leadership team. The successful candidate will be responsible for managing complex calendars, coordinating travel arrangements, and handling confidential information with discretion.
Key Responsibilities
- Administrative Support: Provide executive-level administrative assistance, including managing calendars, coordinating travel, and handling correspondence.
- Communication Management: Maintain accurate and up-to-date records, distribute or cascade messages on behalf of the team, and ensure effective communication with internal and external stakeholders.
- Calendar Management: Timely scheduling and prioritizing of meetings to ensure they occur within appropriate timelines, proactively resolving meeting conflicts.
- Travel & Expense Management: Follow company policies, assist with business travel arrangements, visa applications, and reconciliation of business expense reports.
- Department Events/Meetings Management: Plan and execute various events and meetings, ensuring meeting readiness by assembling meeting materials, booking meeting rooms, testing meeting venue technology, catering services, distributing pre-read materials, and meeting minutes.
- Issue Management: Liaise with support teams to resolve issues related to technology equipment, software applications, facilities, etc.
- Business Operations Support: Manage purchase orders, office supply orders, and other administrative services, serving as the point of contact for SOWs, POs, invoicing, business travel, onboarding, etc.
- Interface with Senior Executives: Interact professionally with senior executives and matrix team members, handle confidential information with discretion, and demonstrate diplomacy and excellent judgment in dealing with sensitive situations.
- Professional Development: Maintain professional and technical knowledge by remaining current with continuous learning modules.
- Collaboration and Partnership: Collaborate and partner with administrative associates from other departments to ensure business needs and goals are met.
Qualifications & Experience
- Education: High school degree or equivalent.
- Administrative Experience: Administrative or comparable experience; prior executive associate experience preferred.
- Technical Skills: Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint). Concur Travel and T&E, Ariba/SAP, SharePoint, Workday, Room Scheduler experience strongly desired.
- Interpersonal Skills: Strong interpersonal skills, team player, and willingness to work in an environment that encourages individual initiative and accountability to the team.
- Problem-Solving and Adaptability: Ability to prioritize, be proactive, work independently, and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and supports business needs across different time zones.
- Communication and Representation: Responsive, sense of urgency, plans ahead while executing on a day-to-day operations, highly motivated to get things done, takes initiative, and has a proven ability to handle confidential matters.
- Professional Representation: Represents the department in a professional manner to internal and external customers and has a proven track record of positively interacting with colleagues at all levels of the organization.
