Job Overview

Russell Tobin & Associates is partnering with a world-class organization to fill an Administrative Associate II position near South San Francisco, CA.

Key Responsibilities:

  • Manage team drives and scheduling across multiple time zones using Google Suite.
  • Utilize IT systems (cSuite, virtual tools) for efficient collaboration.
  • Coordinate internal and external stakeholder relationships, ensuring confidentiality.
  • Plan and execute department meetings, team offsites, and events.
  • Oversee logistics for meetings with external business partners, including post-meeting follow-up.
  • Handle meeting materials, agendas, and lead webcasting and technology setups.
  • Assist with onboarding new hires, coordinating the interview process, and preparing hiring packages.
  • Maintain internal communications via gSites, newsletters, and team portals.

Requirements:

  • Bachelor's degree or equivalent industry experience.
  • 5-7 years of administrative or operational experience, preferably with senior leaders.
  • Proficiency in Google Suite, Microsoft Office, and cSuite tools (Trello, Jamboard, ZOOM).
  • Strong organizational, multitasking, and independent decision-making skills.
  • Ability to handle confidential information with discretion.
  • Excellent attention to detail, collaboration, and process improvement mindset.
