About the Role

Vanderbilt University Medical Center is seeking a highly skilled and organized Administrative Assistant/Calendar Manager to join our team. As a key member of our department, you will provide exceptional support to three senior leaders, ensuring seamless execution of their schedules, travel arrangements, and meetings.

Key Responsibilities
  • Manage complex calendars, including scheduling meetings, grants, and conferences for leadership.
  • Coordinate travel arrangements, including booking flights, hotels, and transportation for executives and external visitors.
  • Arrange meetings and presentations for high-level external visitor meetings.
  • Establish and build relationships with internal executives and visiting executives from external institutions.
  • Reconcile monthly p-card transactions for executive-level purchases.
  • Provide administrative support, including coordinating area initiatives, assisting with research program participant travel, and executing VICTR departmental and employment engagement events.
Requirements
  • High School Diploma or GED
  • 4 years of relevant experience
  • Excellent organizational, communication, and interpersonal skills
  • Ability to work in a dynamic environment and adapt to changing priorities
