Job Overview

The role involves providing comprehensive administrative support and site services across various functions while managing specific projects as needed.

This position is primarily based at our Chandler site with responsibilities extending to the Tempe location, ensuring seamless operations across both sites.

Ideal candidates will exhibit strong attention to detail and a proactive approach. This role reports directly to the Security Manager.

Key Responsibilities:

  • Facilitate office and electronic lab operations across Chandler and Tempe.
  • Assist in planning and forecasting the facilities budget, recommending necessary repairs and maintenance.
  • Manage incoming calls efficiently, directing them to the appropriate personnel.
  • Welcome clients, vendors, and guests with professionalism.
  • Handle the receipt, shipment, and distribution of packages and mail.
  • Perform various clerical tasks, including data entry, copying, faxing, and filing.
  • Organize and schedule meetings and special events.
  • Coordinate food and catering services for events.
  • Oversee inventory management for kitchen and office supplies, ensuring organization and accessibility.
  • Maintain cleanliness in common areas, kitchens, and copy stations.
  • Support the execution of tasks and projects as assigned.
  • Uphold confidentiality in all company matters.
  • Manage the security access control system, including badging and CCTV operations.
  • Issue and manage access badges for employees and visitors.
  • Coordinate First Aid/CPR training sessions with relevant organizations.
  • Address day-to-day facilities and security concerns, collaborating with management for resolutions.
  • Maintain vendor relationships and ensure compliance with contract terms.
  • Review and approve vendor service invoices for internal processing.
  • Engage with vendors and contractors for various administrative and operational needs.
  • Assist in managing employee workspace assignments and nameplate creation.
  • Collaborate with IT for the setup of new equipment for employees.
  • Support Human Resources in onboarding processes for new hires.
  • Facilitate company announcements and policy communications.
  • Monitor and report on parking compliance.
  • Work in diverse environments, adapting to various conditions and requirements.
  • Physical tasks may include lifting up to 25 lbs and prolonged periods of standing or sitting.

Qualifications:

  • High School diploma or equivalent, with at least two years of administrative experience.
  • Proficient in Microsoft Office Suite.
  • Ability to adapt to different software applications.
  • Strong writing, analytical, and communication skills.
  • Self-sufficient and capable of working independently.
  • Experience interacting with various organizational levels in a dynamic environment.
